Your mission:

Admin support

  • Management of general phone
  • Visitors’ reception
  • Receiving packages
  • Expense reports (credit card)
  • Mail handling (get, sort & date-stamp the mail, get payment approval for suppliers’ invoices & send them out for payment)
  • Maintain office supplies level (stationery, water, coffee, tea, trash bags, tissues)
  • Monitoring of cartridges, trash bags capacity, bathrooms rollers, lamps’ and alarms’ functioning, kitchen towels)
  • Prepare meeting room when needed (clean before & after, nothing lying, foresee catering, …)
  • Organization of meetings and trade shows (Christmas meals, business meetings, team buildings, ...), with the help of the he Office Manager
  • Verification, approval and coding of certain types of incoming invoices
  • Petty Cash management and month-end report

Sales support :

  • Take off work from customer service representatives to allow them to take care of most of the order management of regular and recurring unit orders
  • Assist the sales team with any support work such as: calling customers monthly to check their needs with them for the rolling forecast, proactively following up in writing on smaller quotes (during peak season from March to July)
  • Marketing support during trade shows
  • Collection by telephone and e-mail
  • Print out company invoices and send them to customers
  • Creation of credit notes
  • Organize sales trips/shows for Area Managers (logistics and visit appointments, hotels, flights, car rentals)
  • Together with the Area Managers, write up action items from their trip
  • Follow up with Area Managers to make sure action item deadlines are observed, with the help of the Office Manager
  • Handle market surveys by phone and analyse the answers and report the conclusion and /or recommendations
  • Search Internet to find prospects
  • Validate new prospects by calling them and communicate details to Marketing dept.
  • Maintain and validate existing database
  • Communicate with sales team about validated prospects and their needs

Your profile:

  • You have 2- 3 years’ experience in a similar role
  • You can communicate easily in French and English (fluent level), oral and written. Any additional European language is a plus
  • You have a very good knowledge of Outlook, Word and Excel
