Job Purpose:

• The CTFS is accountable for supporting local TMO with the financial management of clinical trials

• Functioning as primary financial contact for other line functions (FRA / Purchasing / TLA)

Major Accountabilities:

• Provide financial support for clinical trial budget and accounting. Liaise with Finance Department

• Support Clinical Study Manager with budget planning and forecast

• Draft local trial budget, Clinical Trial Agreement and Trial Commitment Form (TCF) based on Grantplan in consultation with Local Trial Leaders (LTLs)

• Set-up trial and sites in Clinical Trial Financial System(i.e. ACT)

• Support tracking and processing of Grant applications

• Create and update files in the Trial Financial System

• Track, process and release milestone payments to sites in collaboration with local study team and finance

• Quarterly generate payable visits overviews for LTL and post Goods Receipt in the Clinical Trial Financial System (ACT) after LTL approval.

• Generate Purchase Order and Invoice Proposals in the Clinical Trial Financial System.

• Ensure timely and adequate processing of clinical trial invoices

• Process final trial invoices

• Quarterly provide the LTLs with trial financial reports to facilitate financial trial management.

• Provide financial details to Business Unit/Franchise

• Monthly invoicing for clinical trials and providing TMO budget forecasts to Headquarters

• Evaluate clinical trial financial process and implement process improvement

• Interact with the Trial Financial System team at Headquarters and other CPOs in order to improve CT financial processes

• Prepare documents for requesting research grants

Key Performance Indicators / Measurement for Success:

• TCF accuracy (level of match between Last Patient First Visit and Final Invoice TCF);

• Grantplan to budget form time;

• Timeliness of quarterly invoice proposals;

• Customer satisfaction (multi-rater feedback LTLs, FRA, purchasing and local and globalBPA).

• HQ & Local TMO budget accuracy

• Education / Experience:

• Education: Higher education think and work level [Bachelor]

• Languages: Fluency in Dutch and English language

• Required experience: 2 years of clinical trial experience and strong affinity for financial planning OR 2 years of financialplanning experience and strong affinity for clinical trials required

• (Financial) project administration experience is an advantage

• Experience with (financial) electronic systems (SAP, ACT, Basware, ClinAdmin, Excel)

• Excellent time management skills

• Excellent communication skills
