Our client, a European association, is looking for an Office & Facilities Support who acts as the SPOC for any issues related to visitor management and facilities, including the digital tools related to it in the current hybrid working environment

De functie

Our client, a European association, is looking for Facility & Office Support to the Health, Safety & Environment & Facility Manager. The person will act as the SPOC for any facility and practical issues and will be the bridge person with the internal IT Service Desk for the digital tools that are used in the current hybrid working environment::

  • You are the SPOC for bookings of meeting rooms and any practicalities accompanied with it like parking management of visitors, double booking, making sure that booked rooms are clean, any facility issues, etc.
  • You are the SPOC for external and internal people in order to ensure a correct use of digital IT applications related to visitor management and booking systems. In case of adaptations in these apps, you inform and train the colleagues on the changes
  • In case of technical issues with these systems, you try to handle troubleshooting or you liaise with technical colleagues or external experts to solve the issue
  • You organise logistics related to onboarding of new colleagues during their first days, presents for colleagues e.g. Saint-Nicolas, Christmas
  • Periodically small Health, Safety & Environment moments are organised, for which you contact the speakers and organise logistics
  • You share procedures and guidelines with visitors or colleagues if relevant
  • You are responsible for office supplies storage and delivery to the office
  • You are the contact point for facilities issues
  • You provide logistic support during internal events

Het profiel

These competences & skills make a good match:

  • You have preferably a first experience in a facility role involving hybrid working conditions
  • You have very good knowledge of English as well as French OR Dutch
  • Proven ability to plan, organise, establish priorities and getting things done – a hands-on attitude is key in this multi-tasking job!
  • A bachelor degree is a plus but not a must.
  • You have good skills in MS Office, SharePoint is a plus
