Job description:

We are looking for a General Assistant to perform a variety of administrative tasks and support our Country Manager, local management team and our Sales team in Belgium.

Your responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance, by providing personalized and timely support.

Main responsibilities include

  • Act as the point of contact between Country Manager, local management team, employees, clients and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage the Country Manager’s calendar and set up meetings
  • Make travel and accommodation arrangements
  • Fleet management, GDPR management and Prevention advisor
  • Support Sales team in confirming annual customer agreements
  • Prepare monthly sales reports
  • Act as Administrator Connect (CRM program) to ensure up to date database for analyses and creation marketing campaigns
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system

As our ideal candidate you have a proven track record as General Assistant or Management Assistant supporting C-level executives. You hold a Bachelor’s Degree with at least 5 years of solid previous experience in a fast-paced commercial organisation. Your written and oral communication skills are excellent (on Dutch, English and French). You might have a second foreign language (e.g. Italian). Excellent knowledge of MS Office package (Word, PowerPoint, Excel) and SAP R/3 is required.
