Job Overview And Responsibilities

The General Counsel Office Management requires a personal officer to the Group General Counsel & Corporate Secretary (GGC&CS) who is in charge for the Group of Legal Affairs, Intellectual Assets Management (IP), Compliance and Corporate Secretarial activities. The GGC&CS is today assisted by an administrative assistant / office manager who organizes meetings and covers the administrative needs but not the content nor the management of the workload of the GGC&CS, hence the need for a “GGC&CS Personal Officer & Analyst” who shall be considered as the extension / personal and trusted adviser and support to the Group General Counsel & Corporate Secretary, with the capability of organizing and managing the workload of the Roles & Responsibilities of the GGC, allowing the GGC to focus on his / her essential activities by securing a full backup and preparation, as to its content, of key meetings and or tasks.

This role will help the GGC to focus on essential tasks and activities, prepare meetings, interviews, manage projects or represent this person in the meetings he or she cannot attend, develop the analytics required, act as an overall coordinator and manager of his activities.

Able to be differentiated from the personal assistant one; he/she will not be managing the logistics but the content of meetings, not the administrative aspects but the rationales of the agenda

Manages the email flow according to responsibilities and priorities, respond or prepare responses in full alignment with the GGC.

As a facilitator you will also assist and connect with other Leadership Team (LT) members of the GC to support them with meetings or projects linked to the GC strategic view but also and foremost with Executive Leadership Team and Strategic Leadership Team members.

Facilitate processes and connects people according to the GC`s agenda and LT deliverables and commitments linked to that role within or external to the function and the company.

Prepare relevant documentation and records when needed.

This position reports directly to the Group General Counsel, having strong connections with the GCLT and some other stakeholders as needed.

PERFORMANCE OBJECTIVES

Ideally, After Three To Four Months, The Office Management Shall Be Able To Anticipate Manager’s Regular Needs, Some Examples Can Be
  • Meetings needed: content, participants.
  • Recurrent ones: preparing and anticipating presentations or data.
  • Stopping meetings without a clear agenda.
  • Following up on commitments derived from meetings, mails and calls.
  • Take accountability over the GGC projects as if they were his/her own
  • Work together with the team of GC office call to deliver on commitments
  • Build a strong collaboration with GC`s assistant to achieve goals and provide the right support not only to GC but to some Leadership Team needs according to the plans
  • Strengthen her /his network and help the GC to have a clear view of key people.
  • Acting as a compass in meetings and in conversations with the GC in order to align the team and the workload to the objectives
  • Work and collaborate with all members of the GC function but closer to the General Counsel Office members
  • Act as the personal trusted collaborator of the GGC, aiming high with integrity.
Education and Experience
  • Having experience building a network, collaborating.
  • Experience managing projects
  • Strong ability or experience in managing various technology systems.
  • Desired experience managing people
  • Experience in project management is a plus
  • Experience in legal matters is a plus
  • Strong IT capabilities to make use of existing and future tools
