Position summary

We are looking for a passionate full-time skilled polyvalent office manager, willing to work with various teams, assisting in their administrative tasks as well as taking care of the general office duties.

We are a small dynamic team specialised in aviation insurance. We are proud to insure a variety of clients ranging from aircraft owners, operators, airlines, flying schools and airport operators, to aircraft repairers and manufacturers.

This position reports to the Operations manager.

Duties and Responsibilities

  • Manage front desk - receiving of visitors, taking all incoming calls
  • Handling incoming / outgoing post and general email enquiries
  • Set up for broker meetings and participate in arranging various events
  • Ensuring that office equipment and facilities are in order
  • Control that all general invoices are handled as per corporate procedures Liaison with building representatives, cleaning staff and suppliers where applicable
  • Support to Ops team with distribution of invoicing and statements of account Support to Credit Control team with the allocation of cash under specific guidelines
  • Support to Operation manager on various annual projects
  • Ad-hoc support to management - writing letters, research, travel arrangements

Ideal candidate

Essential:

Team Spirit

Diligent, professional with a service-minded attitude

Familiar with the running of a professional office.

Able to work under pressure and against deadlines

Experience with professional clients

Excellent PC skills (MS office applications)

Language: Dutch and French with excellent English

Preferred:

Bachelor in organisation and office management or equivalent.

Career level:

Minimum 3 years’ experience in a professional environment, insurance company would be an asset.
