Description
Board Members - Corporate Secretary
Role
In this role you will be providing essential administrative and secretarial support to the Head of Corporate Secretary, based in Brussels.
A view on your tasks:
  • Finalisation of meeting documents
  • Tracking e-mails, minutes, follow-up actions related to the different high level meetings and mail exchange
  • Schedule appointments and arrange meetings, conference, and travel
  • Organise and expedite flow of work through supervisor’s office and initiate follow-up action
  • Communicate and coordinate principal’s instructions and desires with various individuals and / or departments
  • Receive and screen telephone calls, letters, visitors, answering routine questions
  • Draft correspondence for principal’s final approval
  • Participate to the overall organisation of the Division and the Corporate Adminstration.
  • Liaise with other assistants (both external and internal) on a regular basis
  • Close follow up on paper filing
Qualifications
Technical skills
  • You are able to play around with the different software packages of Microsoft Office (Word, Excel, and PowerPoint) as well as Lotus Notes
  • You are willing to learn other programs when necessary (e.g. Financial tool Oracle, Travel tool KDS
  • You are able to provide minimal tech support (desktop, IPad, IPhone)
  • You evaluate several different programs and apps in order to choose for yourself which provides the best tools to accomplish your manager’s objectives.
Soft skills
  • You have a pro-active mind set in scheduling (recurrent) meetings, business trips, conferences, and client visits and align with the Division Head on conflicting agenda’s / meetings
  • You are interested in learning and taking on new responsibilities as role and experience grows
  • You have the ability to work accurately and efficiently on multiple tasks under tight deadlines and know how to prioritise
  • You have strong communication skills in English, orally and written
  • You have the ability to transmit information clearly and honestly
  • You act as a hostess when welcoming clients or Senior Management of other Euroclear entities
  • You have an eye for detail and pay attention to the accuracy of information given related to all information in Division Head’s agenda
  • As a PA you will often be exposed to sensitive material and personal information which you keep confidential
  • You are tactful towards colleagues and people with whom the Division Head interacts
  • You are mature, professional, flexible/positive attitude towards work, even under stress
This role is preferred for a full time.
