Job Description

As receptionist, you are the first point of contact for visitors, suppliers and employees: your role is essential in contributing to the company’s image and to the first impression of our organization. A customer-oriented approach is essential.

You are also in charge of various administrative tasks in support of the different departments.

Your tasks

Welcome
  • Welcome of visitors (registration in the ad hoc register, badge delivery, follow-up with the host employee, ...)
  • Welcome of collaborators, consultants, suppliers
  • Welcoming on site, by phone or by e-mail, in a professional, courteous and polite way

Administrative support
  • Answering and follow-up of phone calls
  • Sending, receiving and distribution of mail (registered, TNT, internal, colis)
  • Support for catering services, meeting room/flex desks reservations, cabs
  • Follow-up of the invoices relating to the various services linked to the reception desk
  • Management of the economat (stock, orders, access, ..)
  • Distribution and follow-up of access badges in coordination with relevant departments (including HR, IT)
  • Fleet: management of the car maintenance schedule, winter/summer tire change and fuel card distribution.
  • Occasional missions (printing of documents, translations, ...) and support to purchasing / communication departments
  • Overall communications related to the facility management

Your responsabilities
  • Welcoming guests in a friendly and professional way
  • Be available and responsive to calls and requests at the reception desk
  • Keep the reception area (including the visitor’s room) orderly and welcoming
  • Ensuring the follow-up of administrative support in a qualitative way
  • Managing with flexibility the various requests in order to satisfy internal customers
  • Training & coaching the pool of back-up assistants (Receptel, ..)

The ideal candidate

Experience

A minimum of 5 years’ experience in a similar position will ensure that you have the necessary skills to succeed in your position. Training as an assistant / receptionist is a real plus.

Needed knowledges
  • Good IT knowledge (MS Office, internet, Skype, badge management software...)
  • Eager to learn and be familiar with new digital and/or tools (Bekeeper, SAP, JOAN …)
  • Easy use of telephony (Cisco Unified Call Manager)
  • Bilingual French / English (spoken and written) - Dutch is a plus
