About Our Client

Our client is a major player in the food sector and they invest a lot in the well-being of their employees.

Job Description

As a Samples Coordinator you’ll manage the entire international sample supply process from request to delivery by ensuring timely and accurate information. You handle the administrative correctness and coordination of the requested food samples with respect to the deadline.Tasks:

You manage the fulfillment of the samples request by receiving and/or searching for information:

  • Receiving and processing data (e.g. contact with suppliers, customers and internal departments, recording orders, etc.).
  • Gathering information regarding the shipment (e.g. product-customer-delivery address and contact data-invoicing data, delivery time, transport conditions, packaging, export documents or necessary authorisations)


You check and complete the documents by focusing on its consistency and logic (comparison with previous data, market data, the market, etc.) and provide extra explanation of the data.

You execute the different procedures in order to deliver the samples to the customer and resolve any problems. You take into account the respected deadline, including transportation time, to ensure delivery of the right samples to the customer within the agreed timeline.

You coordinate the samples within the samples department for further processing:

  • You send the prepared sample requests to your colleague, Sample Technicians, to process and execute the samples (production, packaging, transport, etc.)
  • You track and close sample requests to ensure end-to-end service and make documentation available.
  • You complete the sample request including all logistical and financial data (price, transport financial data (price, transport, costs, budgets, etc.) in order to be able to invoice.
  • You ensure the management, control and monitoring of the stock of the various SKUs within the department Samples in order to have a good overview of the stock.
  • In the absence of the Sample Technician: perform logistics activities: receive incoming materials and incoming materials and store them correctly.

The Successful Applicant

We are looking for a Samples Coordinator that:

  • has a bachelor degree or equivalent by experience in a coordinating, administrative role in an international work environment
  • can work structured, meticulous and show strong drive for document accuracy
  • has a pro-active and dynamic approach, can easily diversify priorities whilst maintaining a stress resilient focus
  • has strong language skills in English (written and spoken). Other languages are a plus.
  • can work easily with MS fOffice, SAP is an advantage
