OverviewYou will be responsible for supporting the employee life cycle and managing all related HR administrative tasks for our employees in Brussels, Paris and Spain. Reporting to the Senior HR Generalist in Brussels, you will play a key role in delivering high-quality HR administration and will be part of a Global HR team which values collaboration, teamwork and trust.
Responsibilities
- Be the first point of contact for all general administrative employee queries.
- Manage employee updates in Workday (HRIS), ensuring records are up to date and compliant.
- Create contract amendments, update employee HR files, prepare employment confirmation letters, answer questions linked to vacation and time tracking.
- Manage employee/interns onboarding which includes liaising with the EMEA Recruitment team, being the main point of contact once candidates have accepted an offer, providing all necessary onboarding documentation and information, liaising with payroll and benefit providers, updating Workday, undertaking HR onboarding sessions and managing probation periods, where applicable.
- Manage the offboarding process. Ensure employee/interns departures are actioned in accordance with local process, including providing reference letters, , notifying payroll & benefit providers and updating the HRIS.
- Provide HR metrics and management information to internal stakeholders when required.
- Supporting the team with ensuring the company is compliant with immigration rules and processes and assist with visa applications and renewals with our external immigration service provider.
- Build strong relationships and collaborate with other groups (such as Finance, Corporate Services and IT) as and when necessary to support the business and employees appropriately.
- Preparing the monthly payroll changes, ensuring data is accurate and on time.
- In collaboration with the Global HR team, assist with annual activities such as the performance review process, promotion process and compensation review.
- Identify areas for improvement and recommend appropriate solutions to address the needs of a growing organization.
- You will potentially receive ad hoc responsibilities to be involved in projects such as M&A, well-being, remuneration, culture and engagement, L&D and other HR related work streams.
- Excellent HR administration skills and comfortable handling a high volume and diverse range of administrative tasks simultaneously.
- Experience with French social legislation is a plus.
- Excellent attention to detail.
- Ability to conduct business in English & French with strong verbal and written communication skills.
- Proficient in Microsoft Office and experience using Workday would be beneficial.
- Self-motivated, highly organised and ability to prioritise tasks, meet deadlines and effectively manage time and workload.
- Demonstrate good judgement, act with integrity, credibility and professionalism, ensuring confidentiality is maintained at all times.
- Demonstrate excellent communication and collaboration skills and able to build relationships across all levels of the business in a global operating environment.
- HR degree/qualification is a plus or the necessary skills and up to date knowledge obtained through experience.
