To support the Supply Chain team in Leuven, Xenics wishes to grow by adding another enthusiastic Supply Chain & Internal Sales Specialist to the team.

The job

As Supply Chain & Internal Sales Specialist, you - together with your three colleagues - are responsible for operational support, supply chain with specific focus on the assurance of a smooth product flow, from customer order until shipment and invoicing at Xenics.

Your contribution to the Supply Chain team is fourfold:

1. Order & Sales. You will follow up on incoming orders and communicate priorities/schedule to the production and assembly departments. Other responsibilities involve: verifying incoming orders with quotes and pricelist, managing (customer) information in ERP/CRM, sending order confirmations to customers, packing and shipping outgoing products, organize transport and invoicing the customer. During the process, you keep your customers in the loop by reporting on the current state of their order.

2. Export control follow-up. You will strictly follow up the export license adherence rules with and reporting to the responsible authorities (infrared cameras are dual-use products).

3. Sales and Operations meetings/demand management. You play an important role in the longer term synchronization between demand and component supply: you make sure that adequate forecasting is received from the customer and kept up-to-date in the system so that Purchasing can take appropriate buy decision (certainly regarding long leadtime items).

4. Quality administration and organization. You will follow up on organizational efforts, incoming shipments, demo shipments/inventory and quality/regulation compliance.

Long story short: it’s your goal to optimally/pro-actively manage the complete order intake and demand with the customers and respective Xenics Sales managers, to make sure that shipment is done in line with the requested or confirmed delivery date and to do invoicing/shipment according to the agreed terms and conditions. An optimal way of serving the customer and keeping the inventory on an optimal level.

Your profile

• You have several years of experience in different areas of Supply Chain (order desk, internal sales, operational,…). A bachelor’s/master’s degreeand experience in a low volume/high mix B2B production settingwould be a great asset.
• You are familiar withconcepts such as lead time, order confirmation, forecasting, payment terms, INCOTERMS, …. Knowledge of export and licensing procedures is an asset.
• You are very customer oriented and are seeking for customer delight in their interaction with Xenics.
• You are eager to learnand you like to work in a self-managing team. Your attitude can be described as "Plan-Do-Act-Check".
• You love to make improvements in business processesand enjoy thinking strategically with the company.
• You adopt a proactive and result-oriented approachand report in an unambiguous way on the facts and figures internally and towards customers.
• You arefluent in English. Knowledge of other languages is a big plus, given the international character of the organization.
