For the CEO of out client we are currently looking for an Executive Assistant as his executive assistant will be on leave. (Start date: 1st of February 2023)

As the right hand of the co-CEO’s, this role will get the opportunity to be closely involved in the ins and outs of a technology company and take on the following challenges:

  • Provide daily support to the activities of the CEO (including managing and coordinating agendas, organizing complexe travel arrangements)
  • Support the co-CEOs in designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties
  • Be actively involved in specific internal organizational and operational projects to follow up on project planning and help deliver on execution
  • Consultant has the ears and the eyes of the organization and, in this way, you detect problems that need to be solved:

. Perform secretarial and general office tasks:

· Organize various meetings, conference calls and appointments

· Prepare agenda and materials for meetings

· Arrange travel accommodations and expense administration

· Follow-up of purchase cycle: creation of purchase requests, follow-up of invoices

· Perform calendar management for different teams:

· Manage daily calendars with meetings, conference calls and appointments

· Establish priorities and communicate potential conflicts

· Manage workflow and information

· Timely consolidate all information for recurring meetings

· Anticipation of CEO’s needs to save time and efficiency

The person we are looking for has :

  • 5 to 6 years relevant experience as Executive assistant
  • A good knowledge of English and Dutch. French is an asset
  • The ability to edit, adjusting language or terminology to meet needs of the audience or as appropriate; the ability to use correct grammar, organization, and structure.
  • Ability to identify needs and initiate projects independently
  • Ability to work flexibly and independently with deadlines
  • Excellent communication and relationship-building skills
  • Attention to detail and accuracy with strong planning and organizational skills, with the ability to prioritize
  • Awareness of the need to be discreet and tactful to maintain confidentiality
  • Self-motivated, proactive, a team player whilst also able to act on your own initiative and solve problems;
  • Demonstrate confidence, strength of character and resilience:
  • Ability to cope with a varied volume of work and occasional time pressure.
