They acquire, develop and manage their real estate investments. To date they celebrate 20 years in business. Throughout their existence cities have always played a key role. Retail has always been their main investment focus, with currently more than 300 assets under management in Europe’s most attractive urban retail destinations. Recently they have started investing in residential projects and they aim to create vibrant places for people to live, work, shop and play.

Job description

KEY RESPONSIBILITIES

PROJECT MANAGEMENT:

  • General Administration support
  • Ordering Management for PM, DM & AM in Planon. Follow-up on P.O. from start to approval, signing and sending out approved P.O. to suppliers;
  • Budget Management in Planon in accordance to our ABP Budgets;
  • Follow up on opex and capex budgeting from Planon to reporting models as a service to PM, DM and AM;
  • Initiating budget transfers in Planon including the preliminary approval process in Planon;
  • Initiating the upload of new (project) budgets (after IC / RLM approvals) including the preliminary approval process in Planon;
  • After the ABP approval process, uploading all new opex and capex budgets in Planon on the start of the FY;
  • Drafting of Contracts for advisors or contractors (from existing templates);
  • Preparing the weekly Property Meetings and providing up-to-date budget reporting as an outlook report for Finance;
  • Single point of contact for advisors or contractors regarding tenders, contracts, PO, (admin)
  • Updating the database of advisors and contractors;
  • Single point of contact for advisors or contractors regarding the use of BIM360 Docs platform: new log-in, setting up new projects and access rights, contracts for use of BIM360 Docs by our external parties, helping on issues with access,…
  • Follow-up of contracts / document management
  • Scanning / Filing / Archiving

KEY PERFORMANCE INDICATORS

  • Correct, timely and complete administration of above mentioned processes
  • Good knowledge of Excel for the financial reporting and follow-up
  • Eager to learn new IT systems (Planon, Coda, B.O., BIM360 Docs, etc)

MINIMUM SKILLSET

  • Fluent in dutch or french
  • Good knowledge of English
  • PC literate (Word, Excel, etc)
  • A few years of experience in an administrative role
  • Positive mindset and orientated towards problem solving
  • Hands-on
  • Eager to learn and to grow
  • Flexible
