In this role, you have the opportunity to be part of the Business Image Guided Therapy Devices International. You will be able to work in a large and complex organization. Therefore, the job at any level demands knowledge, experience and understanding of the organization, the often-conflicting interests at play and the many business processes and disciplines that are managed by the Manager. This is a coordinator/administrative position, and you will make a difference by supporting one of our Management Team members.

Job Summary

The Regulatory Affairs International Coordinator is experienced in all standard RA Clerical/Admin tasks. They work in a very large and complex organization where substantial interests are at stake, the effects of which affect the entire Philips company or a large proportion of it. Therefore, the job at any level demands basic knowledge of the medical device industry, experience and understanding of the organization, the often-conflicting interests at play and the many business processes and disciplines that are managed by the Manager.

Responsibilities:

  • Provide administrative support to the Head of Regulatory Affairs (RA) including (but not limited to) the following responsibilities:
  • Managing the excel database of product approvals/licenses per country. Support the RA Country Specialists for the consolidation, update, and record retention of all approval/licenses obtained worldwide, by tracking the expiration dates and support the renewal activities. Required ability to extract data for analysis (e.g. charts, pivot tables);
  • Obtaining signatures/notarizations/legalizations/Apostilles on various RA documentation, which involve a high level of responsibility and understanding of International regulations;
  • Providing administrative support;
  • Support the communication within the RA International team, by keeping the schedule of meetings, meeting notes and action items, maintenance of the shared repositories (TEAMS, sharepoint…) saving presentations and support with the communication tasks of the team;
  • Dealing with sensitive, complex and highly confidential information;

Profile:

  • Is organized, motivated, analytical and creative, can prioritize workload
  • Strong skills in Excel, Powerpoint, and MS Office suite
  • Relevant bachelor education with 3 years of work experience as an Executive/Management assistant
  • Profound understanding of the complexity of the organization. In addition to performing the full range of administrative tasks, works in an organization of managerial scope.
  • Strong ability to develop and maintain cross-functional relationships
  • Fluent in English. Any other language is an added value
