The Warehouse Supervisor (Golden West Bakery) is responsible for the scheduling, approval for usage, movement, handling, maintenance, and storage of all materials (eg. raw, finished, packaging, non-stock) coming in and out of the facility, while taking into consideration scheduling of production, and ensuring efficient usage of warehouse space, and accurate reporting of material status. Additionally the Warehouse Supervisor must display the ability to use applicable systems, procedures, and equipment, while also being responsible to train the shipping/receiving team to enact requirements that meet best practices and company standards for the facility which operates 24/7.
General Duties & Responsibilities
- Take safety first mindset to every aspect of the job
- Supervises all aspects of the shipping receiving team on all movements inbound, outbound and within the warehouses, yards, and any properties/equipment owned or rented by the company, by following best practices, company standards on documentation, quality and safety with clear direction & workload prioritizing in daily shift meetings and weekly/monthly department communication
- Responsible for inventory level reporting, with the Inventory Control Associate and Supply Chain Associate on daily cycle counts, month end, year-end or as needed to support optimal operations at both Golden West and 3rd party storage facilities
- Main scheduler of all activities in and out of the bakery with respect to suppliers, customers, transfers, maintenance and sanitation requirements
- Ensures compliance to overall safe, clean work space and quality control processes/audits on trailer inspections, visitor screening, inspection of supplies, inspection of quality finished goods to customer and on transfers, documentation
- Manage, review, organize, and file all shipping receiving documentation in compliance with internal company, legal and audit standards.
- Works with supply chain team and production team to manage floor and freezer space cycling and mitigate any congestion in the facility or delays to production and order fulfillment on finished goods, materials, packaging, pallets, trays, wheels
- Load plan all transfers and outbound shipments to 3rd party warehouses (freezer, dry storage) and to customers
- Set up new product and update changes to product spec affecting logistics with 3rd party freezer warehouse
- Troubleshoot and manage EDI for movements to warehouses and customers
- Report any needed corrections, set up of new products or required updates to the SAP master data, affecting shipping/receiving (i.e. ship to addresses), inventory management (i.e. bin locations), shipping points as they arise
- Participate and support facility and supply chain audits for industry and corporate standards. Month end, year-end, etc.
- Frequently input and extract data from various online portals of customers/suppliers/3pl facilities
- Communicate effectively with internal and external stakeholders on timeliness of inbound and outbound shipments to mitigate any threats to OSCOT and service failures
- Provide analysis, insight and administrative support on supply chain KPIs (i.e. OSCOT) and identify improvement opportunities; assist with implementation as needed
- Work with Supply Chain Team on monitoring and communicating shelf life,/FEFO, of raw materials, packaging, and finished goods issues to maintain best practices and mitigate any non-compliance activity, avoid waste and promote quality, service with all partners
- Collaborate with Supply Chain Team and Quality Assurance on inventory control for receiving, usage approval (CoA) and put away processes
- Coordinate with Production Planner, Shippers and Production Team to manage partial pallets of finished goods upon next production opportunity to meet shipping optimization
- Partnering with Production Planner and Supply Chain Manager to work with HR, maintenance and sanitation teams to ensure downtime is available to support company standards on employee training programs, preventative maintenance, equipment cleaning and facility upgrades/repairs while mapping out contingency plans to minimize service interruptions to the customer and supplier
- Responsible for reviewing, hiring, training, managing, promoting, disciplining, rewarding, and engaging with shipping/receiving team on all levels, shifts, and hours of the operation in coordination with the Supply Chain Manager.
- Ensure all policies, protocols, procedures, standards and expectations are understood and followed by the shipping receiving team. Create and deploy training aids, one point lessons, visual standards and other forms of communication to enforce.
- Engage on the floor with the shipping and receiving team, participate in daily duties to build team moral and team work. Delegate and collaborate with the warehouse team leaders to ensure cohesive, efficient, and effective leadership to the shipping/receiving team across all shifts and hours of operation.
- Provides continuous improvement insight, development and implementation on material movement, storage, and up to date training and mentoring for the shipping/receiving team members
- Engage in developing and implementing best practices at Golden West
- Supervisory responsibilities include monitoring associate performance to maintain acceptable levels of production for all individuals. This includes providing input on hiring; disciplinary actions; work objectives and their effectiveness and realigning, as needed, to support order processing and production operations.
- Learn and understand the total function of the operation of the business, including production planning against customer orders, in order to eventually cover production planning when the Supply Chain Manager goes on vacation.
- Maintain on call availability after regular business hours to help troubleshoot issues with the team, and when required attend to critical concerns and issues where decisive leadership is required.
Minimum Job Requirements:
- High school diploma or equivalent
- Must have forklift certification (stand-up counter balance preferred) with recent active experience of minimum 2 years
- At least 3 years of supervisory experience is preferred
- At least 3 years of warehouse experience preferred
- At least 3 years of food manufacturing experience is preferred.
- Have experience or exposure in the use of ERP systems related to this job function (SAP preferred)
- Proficient to advanced skill level in Microsoft Office, especially Excel, Word
- Able to cite and demonstrate successful implementation of process improvements
- Aptitude in math and analytical skills
- Be able to work in a challenging and fast paced work environment
- A quick learner, resourceful team player with excellent interpersonal & communication skills
- Proactive, detail oriented & organized individual who is eager to develop improvements to existing processes with hands on learning of the overall production & warehousing process
- Work involves daily exposure to unusual elements such as dirt, dust, fumes, darkness and/or noise, exposure to weather elements, extreme temperatures (cold/hot), wetness and humidity.
- Work environment involves daily exposure to physical risks such as working around mechanical equipment, forklifts, chemical hazards, and electrical hazards.
- Position requires the ability to stand for long periods of time, sitting frequently at a desk, walking around the office and plant; carrying packages up to 50 pounds; utilizing fine dexterity; reaching and kneeling on a daily basis. Also requires the ability to see, hear and communicate with associates as well as others by utilizing professional etiquette.
- Work occasionally involves answering the phone in off work hours to help troubleshoot issues at the plant. In the event of critical issues, coming in to the plant in off hours may be required. When going out of service areas during off hours or vacation, must communicate with Supply Chain Manager for coverage, as well as inform the team at the plant of inaccessibility. 24/7 responsibility must be secured at all times.
