Provide administrative and organizational support
What you will do
Imec’s R&D on Energy Technologies is carried out in four research groups. We are currently looking for a Management Assistant to assist the department director and the program director, as well as to contribute to the smooth functioning of the department and the group members by offering support with the administrative and organizational tasks.
Your responsibilities are:
  • Manage the agenda of managers (department director, program director, group leaders)
  • Coordinate and organize internal & external meetings, conferences, business lunches, conference calls, business travel, project events, team events etc.
  • Provide communication with various internal and external contacts
  • Manage and monitor the incoming and outgoing correspondence
  • Support the managers and group members in financial processes (ordering, invoice handing, shipments, memberships)
  • Act as go-to person and provide solutions for general support, advice, questions and needs.
  • Perform various operational and administrative tasks (stock management of office supplies, desk and pc allocations) for the group members

Who you are
  • You have a Bachelor in Office Management and experience in the job
  • You have excellent organizational skills
  • You can multi-task and prioritize efficiently; you are stress-resistant
  • You are a team-player but are also able to work autonomously and take initiative.
  • You have excellent communication skills
  • You have the technical competences to work with Microsoft office (Outlook/Word/ PowerPoint/Excel), Adobe Acrobat Internet explorer, Sharepoint, One Drive, MS Teams, Webex
  • Languages: a native proficiency of either Dutch or English (or both)
