Introduction / Context

You will be responsible to provide administrative support.

Description of tasks

I - Management of External Service Providers (ESP) (appointment-delivery-departure)

Follow up of technical tasks related to communication

Preparation of appointments:

  • Security screenings
  • Emails to Companies for newcomers
  • Emails to ESP already in place

Departures/arrivals of ESP:

  • Emails to HR, SANTE IRM team infra
  • Follow up table
  • Drafting and amend welcome & leaving packs

Management of mission workflows

  • Missions of ESP
  • Guidance to ESP and BLM
  • Coordination with unit.
  • Update Internal guidelines when needed

Periodic follow-up

  • Monthly Timesheets checks of the ESP

Send reminders to Business Line Managers (BLMs)

Send reminders to ESP

Reporting for unit meeting and IT contracts meeting

  • Trainings of ESP (2/year)

Send reminders (letters/emails) to the companies

Gather and check the info (excel table)

  • 2/month – attendance to meeting to present the state of play of the tasks
  • Follow requests of teleworking from abroad

All year long (more requests around Summer)

II - Management and follow up Licenses requests and portfolio

· Maintain a list of current licenses that need renewal, plan and follow up renewal processes

· Receive requests for new licenses

· Follow up process from request to delivery and installation by IRM or development teams

  • Good oral and written command of English is required.
