For our Projects department at our office in Brussels (near the train station and subway, see the map here) we’re looking for a Management Assistant (m/f/x).
Fluxys Belgium, a company active in gas transport, is building a multi-molecule hub for a carbon-neutral future. We are preparing the ground to upgrade our existing infrastructure and we are working on our transport and storage processes for molecules other than natural gas. The Projects Department manages infrastructure projects on the existing Fluxys grid in Belgium.

As Management Assistant, you will provide administrative support to guarantee the smooth running of the Projects Department. You will be responsible for managing schedules and organising travel while ensuring efficient coordination between the manager and internal and external stakeholders.

Your
responsibilities

- You will be responsible for organising and managing the manager’s schedule and email inbox
- You will prepare meetings in advance, taking care of the necessary logistics and administration. You will also take notes and ensure that the actions decided upon are followed up
- You will handle telephone calls and write professional letters and emails on your own
- You will be responsible for filing, translating and archiving various types of documents, while making sure that they are accessible
- You will write reports, compile statistics and design powerful presentations to support decision-making
- You will welcome visitors with professionalism and provide for a positive, pleasant experience
- You will keep a close eye on current projects and work efficiently with the various stakeholders involved to ensure that projects run smoothly
- You will be responsible for the integration of new employees, making sure that they receive a warm and structured welcome
- You will coordinate training courses by managing preparation, participant registration and administrative follow-up
- You will place small orders (e.g. lunches, office supplies, safety equipment) and handle invoicing via SAP/COUPA
- You will organise business trips, including managing bookings and drawing up itineraries
- You will supervise the smooth day-to-day running of the offices, ensuring that supplies are available and that workspaces are maintained
- You will be responsible for managing and archiving shared directories and drives to guarantee that they are properly organised and accessible

- You hold a bachelor’s degree (A1) in office management or a similar administrative field, or have equivalent experience
- You have at least three years’ relevant experience
- You are a real team player who can also work independently
- Customer focus, flexibility and resistance to stress are an integral part of your personality
- You are organised and proactive and work with precision and efficiency
- You are fluent in Dutch and French and have a very good command of English
- You are a proficient user of the MS Office suite
- An affinity with numbers and knowledge of SAP would be a plus
