The work schedule for this position is Full Time (38 hours per week)
Start date: Candidate must be able to begin working within a reasonable period of time (15 weeks) of receipt of agency authorization and/or clearances/certifications or their candidacy may end.

Duties
The job holder provides administrative assistance to various sections of the U.S. Embassy and U.S. Mission to the EU, where there is a staffing need. When not assigned, the position provides administrative support to the Human Resources Office.
The duties include but are not limited to:
Office Management
The incumbent can be assigned as Office Management Assistant. When assigned as OMA, the incumbent receives telephone calls and customers, screening for proper dissemination and personally handling actions and requests including those involving specific technical issues. Manages the calendar of American Officers which includes scheduling appointments, verifying attendance of the American Officer to meetings and booking conference rooms. Receives and handles mail, routing items to appropriate personnel for action and notifying supervisors and colleagues of impending deadlines. Ensures that office supplies are sufficient and orders them whenever necessary to maintain the supply level. Ensures that all office equipment (printers, copiers, fax machines, scanners, etc.) are in proper working condition and calls for repair as needed. Organizes office events as required. Submits Visitor Access Requests (VARs) for security approval and escorts visitors. Attend meetings as required and take notes for supervisors. Proofreads for typographical errors, grammar, punctuation, capitalization, and spelling. Identifies and contact subject matter specialists and researches reference material within the office for the purpose of gathering needed information to draft the written materials. Complete E-2 travel order requests and travel voucher claims, submits e-Services, handles eCC for staff travelling and people visiting Brussels. Prepares travel and representational vouchers for processing. Escort visitors around the compound as needed.
Administrative and Clerical Support
The incumbent can be assigned to multiple sections in the Tri-Mission to provide general administrative and clerical support. The duties and responsibilities will vary strongly depending on the section (Procurement, Finance, Customs & Shipping, General Services, Management,…) and the support needed. When assigned to an administrative support position, the incumbent can be required to:
- Manage and distribute various forms of correspondence with other offices.
- Prepare supply and procurement requests in accordance with Procurement regulations.
- Compose, type, or edit a variety of correspondence, such as letters, office policies, acceptance of invitations, memoranda, reports, forms, cables, etc. from handwritten drafts, oral instructions, or previous examples.
- Design and prepare slides, viewgraphs, charts and other forms of visual information by abstracting and considering information and highlighting trends and relationship for use by staff in conferences, meetings or briefings.
- Distribute and review PO invoices, check for completeness and ascertain whether all terms and conditions have been met.
- Translate and track diplomatic notes, management notices, mail, cables and policies.
- Maintain databases, do data-entry and assisting in improving databases
- Maintain electronic files
- Serves as Timekeeper or back-up timekeeper for section
Human Resources Support:
When the incumbent’s support is not needed by other sections, the incumbent will provide clerical support to the Human Resources Office. Depending on the need and the priorities of the Human Resources Office, the incumbent can be required to:
- Assist the Summer Hire Coordinator with collecting requests, position descriptions, assignments, check-in/check-outs, and personnel actions.
- Assist the Local Staff Recruiter and the Family Member Employment Coordinator in scheduling interviews and testing sessions, printing/copying application packages, setting up Skype whenever necessary, and setting up conference rooms. Escorts candidates to and from interview venues.
- Assist with organizing logistics and administrative support for HR trainings and visits, mailings, archiving folders and delivering certificates.
- Assist the Award Program Advisor with the announcement of biannual awards and provides general assistance during the set-up and aftermath of the awards ceremony.
- Assist with scheduling medical appointments.
- Request medi-assistance cards and meal tickets cards.
- Update the HR Sharepoint website.
Qualifications and Evaluations
EXPERIENCE: Minimum one year of experience in an administrative office.
JOB KNOWLEDGE: Should have knowledge of Microsoft Word and Excel (ideally also Powerpoint, Publisher, and OneNote), Adobe PDF, typing, general office equipment. Ability to become quickly knowledgeable about the Tri-Mission’s organizational structure, functions and agencies. Must be able to quickly become familiar with U.S Department of State software and applications. Good working knowledge of office management and internal procedures.
Secondary School Diploma required.
LANGUAGE: Fluency in English; fluency in French or Dutch This may be tested.
SKILLS AND ABILITIES: Very good computer skills, especially in Microsoft Office suite. Good typing skills. Outstanding customer service skills. Considerable tact, diplomacy, and strong communication skills essential, tact and diplomacy, common sense and good judgment. Good administrative and organizational skills. Must be able to work independently and in group. Good data entry skills. Must have good numerical skills and be able to manipulate numbers with accuracy.

For EFMs, benefits should be discussed with the Human Resources Office.
The pay plan is assigned at the time of the conditional offer letter by the HR Office.
