As a Campus Event Coördinator, you manage external and internal commercial & employee events taking place at the Barco campus / Experience Center. You are passionate about event coordination and oversee all aspects of event planning to deliver flawless events and happy customers. You will report to the Experience Center Manager in Global Marketing.

External Parties Events Coordination

Your main accountabilities:
  • You are the point of contact for external/paid events at the Campus with a high focus on attracting events with business value for Barco.
  • You lead the intake discussions on the event possibilities, create and discuss the event proposal to meet the client requirements & coordinate the practical arrangements of hosting events on campus.
  • You plan & coordinate every aspect of the event, such as event proposal, agenda management, seating, catering, guest lists, technical AV requirements, guest speakers, entertainment, social media exposure, finance administration, customer satisfaction follow-up etc.
  • You maintain a working relationship with vendors (fi external event agencies) and the different internal stakeholders (experience center, facilities, catering, reception desk, IT, HR, marketing, sales, senior management).
  • You outsource or conduct Experience Center tours following the tour script.
  • You create post-event sales opportunities where relevant.
  • You document event process, folder & install checklists, set up post-event survey & adapt process & feedback accordingly.
  • You create monthly/yearly reporting.

Internal Barco (commercial & Employee) Events Contribution
  • You act as key contributor in the organization of onsite commercial events such as a sales meeting, inhouse partner or sales events or non-commercial events such as our internal Smart Innovation Days for R&D, HR recruitment days, employee barbecue etc.
  • Collaborate with the key stakeholders and rethink existing approaches to deliver an outstanding event experience.
  • Oversee the selection of agencies and third party vendors if applicable.

Who are you?
  • You preferably hold a degree in Event planning or marketing
  • You have 2 to 5 years of events organization experience
  • Experience in a B2B technical (IT-AV) products’ environment is a plus
  • You have excellent communication skills
  • You have a fluent knowledge of Dutch and English. Good knowledge of French is a strong plus.
  • You are customer and team oriented
  • You have strong Client-Facing Skills knowledge
  • You have a hands-on mentality and you get things done
  • You are flexible and available to join during important evening events
