Executive Assistant

At MEERAPFEL, we have experienced a wonderful period of growth. To continue on this trajectory and further increase our ascension, we are looking at strengthening our front desk and administrative department.

To help us achieve our very ambitious objectives, we are looking for a dynamic and highly motivatedExecutive Assistant

Skills expected for the position:

  • Ability to self-direct and work effectively with others. High motivation with a “can-do” attitude.
  • Ability to demonstrate discretion, good business judgment and diplomacy as a person involved in high-level client contact with exposure to sensitive information.
  • Ability to thrive in time-compressed, highly dynamic and at times ambiguous environments, whilst ensuring deliverables are achieved.
  • Strong attention to detail with excellent written and verbal communication skills.

Your duties span from daily office management to setting up and maintaining systems and processes. Here is a list of the tasks associated with the position:

PA:

  • Overseer of the agenda of the CEO
  • Travels organisation and booking
  • Scheduling meetings across different time zones; completing extensive travel arrangements; maintaining and proactive management of calendars; screening mail; filing; ordering supplies, liaising with suppliers and shippers, and maintaining department records.
  • Coordinating logistics for more complex meetings/activities, e.g. internal and external meetings, conferences, symposiums, interviews, offsites, etc.
  • Extensive travel may be required to follow the CEO at specific global locations and events
  • Meeting Minutes reporting for calls between CEO and partners

Admin:

  • Perform duties to support day-to-day operations i.e.:
  • Order confirmation and input into the system
  • Stock allocations
  • Inventory/stock management
  • Processing client invoices, vendor payments, preparing supporting documents for accounting.
  • Contract reviews

This position can be based either from our Braine l’Alleud (Belgium) or our Dubai Offices

Skills and Qualifications:

  • Bachelor’s degree or equivalent in Financial, or Business Administration oriented course.
  • Experience in front office administration.
  • Fluent in English and French.
