The Management Assistant provides administrative support to our organization. This position will initiate and coordinate the clerical functions required in effective implementation of administrative policies of the company program.EXPECTED EXPERIENCE / BACK GROUND
- At least 5 years in a similar job/role.
- Bachelor degree Office Management/Management Assistant or equal through experience.
- Excellent knowledge, both verbally as written of Dutch (mother tongue) and English (high level of proficiency).
- Excellent people skills
- Excellent planning & organizing skills
- Good knowledge of how to make dynamic and clear presentations
- Proficiency with word processing, spreadsheet, and electronic editing programs
- Demonstrated ability to manage multiple tasks simultaneously, set priorities, identify and address problems, meet deadlines and remain calm and polite at all times
- Demonstrated effective verbal and written communication skills
- Knowledge, interest of and/or experience in the food industry
The Management Assistant has a wide variety of duties, among which at least the following::
- Efficiency, timeliness & tijdigheid & cost management
- Works with standard and advanced spreadsheets, databases, and word processing software packages;
- Prepares itineraries, agendas, and expense reports for the management team;
- Organize and maintain file and records;
- Provide general administrative support including but not limited to: phones, distributing mail, keeping minutes, and preparing reports of all kinds;
- Prepare official correspondence, coordinate and tracking functions, format correspondence, mark recommendations, and handle incoming and outgoing visit request preparation, logging, and verification;
- Create meeting agendas, notifications, and follow up items;
- Collects and prepares information for use in discussions/meetings of executive staff and outside individuals;
- Coordinate and Administer the Management calendar;
- Maintain the security of confidential information;
- Maintaining business/customer contact database, corporate files and business plans;
- Conducting Internet research: reviewing and synthesizing information;
- Coordinate, create, edit and distribute both internal and external correspondence;
- Producing complex and professional looking PowerPoint presentations;
- Perform executive tasks associated with supporting the VP/General Manager and Management Team;
- Coordinating workflow and maintaining a productive work environment;
- Excellent calendar management skills, scheduling complex meetings and handling logistics.
- You work closely with the HR Assistant/H&S Advisor with respect to HR related administrative duties;
- Manage the adherence to prescribed procedures to ensure first pass quality meets or exceeds planned goals;
- Ensure complete compliance to prescribed AIB, HACCP and BRC
- Maintain and manage office supplies;
- Coordinate a clean desk, organized and tidy office;
- Work cooperatively and effectively with others to set goals, resolve problem, and make decisions that enhance organizational effectiveness,
- You will display a “neutral” and ethical behavior (internally and externally) irrespective of hierarchy;
- You check, register and maintain supplies of PPE’s, including the first aid supplies.
Coordinating complex domestic and international travel arrangements and international meetings;
Coordinating Quarterly Business Reviews and Company Events and their communication;
- Employee engagement : administer birthday cards, long-term illness cards, marriage, …;
- You check invoices from the temping agency on their accuracy based on info pulled from our TMS system;
- Input of correct registration of hours, premiums, etc. in our TMS system, as well as administering and follow-up on access badges;
- Correct, efficient and proactive communication towards colleagues, suppliers and 3rd parties;
- Liaising with internal and external contacts;
- Composing, designing and editing correspondence and reports;
- Speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques;
- Determine priorities, develop an actionplan and check progress and follow-up on details, information and activities;
- Coordinate, create, edit and distribute both internal and external correspondence;
- Draft PO in SAP;
- Anticipate, understand, and respond to the needs of internal and external clients to meet or exceed their expectations within the organizational parameters;
- Correct, efficient and proactive communication towards colleagues, suppliers and 3rd parties;
