In this position, you will get to provide specialist support to the project management of the EPC (Engineering, Procurement and Construction) and HMS (Heat Management Systems) projects related to all the administrative and logistic aspects of the projects. This involves:
- A correct set up of the projects in our SAP ERP system based on:
- Input received from the sales and project management
- A standard template available in SAP
- Financial guidelines and DOA procedures
- Customer approvals and set up
- Compliance rules and procedures
- Project “As sold” checks to be done to allow project release
- Assure a continued update and data accuracy of the SAP project budget during execution of the project
- Creation and follow up of Purchase orders for specific project required materials
- Accurate material reservations to allow timely shipping of the materials
- Timely booking of the hours spend on the project
- Monthly registration of the project reviews to assure an overall budget accuracy
- A correct booking of variation orders received from the customer
- A correct closing of the project when all contractual requirements are fulfilled
- Organize material shipments
- Analyze and communicate with the warehouse team the specific shipping and packing requirements as defined in the customer contract for the specific project
- Follow the customer imposed inspection and shipping procedures
- Communicate and inform the customer about the steps performed and follow up on the approvals received to allow to progress to the next step
- Complete the customer specific documents and web tools in preparation of the material shipments
- Create and send out the invoices
- Follow up on contractual requirements to be fulfilled to allow invoicing ( Bank guarantees/ Performance and warranty bonds, Release documents)
- Create the invoice for the amount defined based on the contractual milestones reached at a certain moment during project execution
- Assure all required documents required to obtain full acceptance and payment of the invoice are added with the invoice when forwarded to the customer
- Assist in fulfilling project related internal & external audit requests
- Bring available all required documents and evidence as asked by the auditors and project controls team
- In this role it’s required you have:
- Bachelor degree in economics or logistics, or equivalent through experience
- 2 years’ experience in a logistics or data management environment
- Team player, good interpersonal and communication skills
- Outspoken interest in working with people across Europe
- Good Microsoft Excel, other Database experience can be a plus
- Good knowledge of English
- SAP - ERP system knowledge
- Willingness to learn how to retrieve and work with data
- Interest in working in an international environment
- Willing to learn and absorb company specifics of the business
- Open to get in touch with different aspects of an organization (Project Operations, finance, Engineering, ERP)
- It will be an advantage if you have:
- SAP Experience and the SAP PS project module
- Knowledge of other languages
- Process oriented
- Disciplined
