Job Description:

Purpose:

The PMOfficer offers support within one or more of the strategic programs and the underlying projects and/or one or more domain portfolios based on the needs of our organization.

Commission:

  • The PMO propagates the methodology to the PMs and ensures that they follow the methodology.
  • The PMO supports the project managers in a number of very practical tasks (creating punting codes, creating sharepoint).
  • The PMO supports and challenges the Programme/portfolio manager in the design and implementation of the programme/portfolio and the underlying projects.
  • The PMO collects the resource demand from the PMs on a monthly basis and ensures a continuous reality check of the resource demand in the short and medium term; The PMO asks the PM to clarify the impact of shifts in effort in lead time and total workload. He supports the Program /portfolio coordinator in leveling the demand within the program / portfolio and also incorporates the impact of shifts in the roadmap into the demand.
  • The PMO collects all costs monthly at program /portfolio level, passes this information on to the project managers. He makes based on actuals, etc .... an analysis of the cost evolution and reports on this to the Program /portfolio manager. He discusses this with the PM (whether or not together with the Program / portfolio manager). Based on this input, he prepares the dashboard.
  • If the analysis (or possibly also from other sources) shows that a change request is necessary, the PMO guides the PM in drawing up the change request and the PMO adjusts the baseline in the cost follow-up.
  • The PMO collects the PSRs (and above all ensures that they are delivered) and challenges them (both on costs, milestones and deliverables).
  • The PMO is present at the following meetings: Core team meeting, Steering committee, PM consultation, portfolio council. He makes a report of core team meeting and steering committee and captures the decisions and the todo’s.
  • The PMO takes on a limited number of administrative tasks (Creating and maintaining functional groups, managing sharepoint accesses, creating and maintaining a meeting overview, collecting agenda items, etc.) The PMO itself seeks support where necessary.
  • The PMO supervises the closure of a project and ensures that all requirements are met. He also takes care of the administrative closure of the project.
  • The PMO shares its experiences both within its own programme and within the hierarchical team (matrix operation).

Expected output:

  • The program manager or portfolio coordinator is supported in various domains (costs, resources, ..) and knows that he/she can rely on the quality of the data and analyses provided.
  • The program manager or portfolio coordinator does not have to worry about the monthly demand-cost PSR reporting process. This runs on wheels because the PMO guides this process and makes the necessary communications and takes actions.
  • The project managers know that they can turn to the PMO for a number of practical matters, but also know that the PMO can help them follow the methodology, collect all information about costs, demand ... AND that the PMO will also challenge them where necessary.
  • The program manager, the portfolio coordinator and the core team or TST team can be confident that all todo’s are captured, decisions are archived and that they can always fall back on this information at a later time.
