The Supply Chain of Terumo Europe consists of several departments within EMEA, that make up the EMEA Supply Chain team. The primary purpose of the team is to ensure customer satisfaction as well as the timely delivery of all orders. The team consists of Customer Service, Supply Chain Planning, our Network Optimization Lead and the European Distribution Centre (EDC). In addition, there is a close collaboration with Project Management, the Quality Departments and all our Business Units. Job Summary


Join our team as a Tender and Contracts Specialist, where you will play a pivotal role in building strong relationships, and ensuring the success of tender submissions and contract administration. You we reporting to and be guided by the Customer Service Manager, Sandrine Nivaux.


Job Responsibilities


Building Strong Relationships and Expertise


  • Develop robust relationships with all stakeholders, including sales and procurement teams.
  • Cultivate a deep understanding of all products to facilitate tender submissions, commercial agreements, and procurement support.
  • Become a local expert in understanding procurement rules, guidelines, and legal requirements.
  • Proactively support the local sales team by applying this knowledge effectively.

Tender Searching

  • Identify public sector tender opportunities and manage them proactively.
  • Utilize tools like Terumo solution (Vamstar) for tender follow-up and actively search for upcoming tenders in portals.

Tender Production & Submission

  • Ensure all tender deadlines are met.
  • Collaborate with stakeholders for accurate and timely tender applications, using a project management approach.
  • Verify and manage all requested content and documents.
  • Obtain necessary formal and legal signatures and ensure timely submissions.
  • Update price and customer data in dedicated software, if applicable.

Tender Samples

  • Manage and follow sample requests related to orders managed in the CRM.

Tender Awarding

  • Evaluate and communicate tender awards to the sales team.
  • Record awarded information and collaborate with stakeholders for further actions.
  • Ensure legal representative signs and archives contracts according to quality procedures.

Tender Prices

  • Manage price uploads in the applicable system (SAP) and maintain pricing database.
  • Implement and uphold the BU pricing policy.

Tender Life Cycle & General

  • Maintain Contract Management, anticipate tender renewals, and inform customers.
  • Manage documentation, archives, tender logs, and work files.
  • Stay updated on developments in electronic exchange and digitalization.
  • Provide contract status to sales managers and management teams.

Quotation & Contract Administration

  • Generate formal quotations in collaboration with sales.
  • Manage price uploads and handle special conditions as needed.
  • Handle consignment contracts, loan agreements, and rebate contracts.

Purchasing Customer Group Management

  • Communicate tender/quotation information to relevant parties.
  • Manage bonus settlements and provisions resulting from analysis if applicable.

Price Maintenance & Price Disputes

  • Ensure accurate application of prices in SAP.
  • Investigate, analyze, and resolve price claims and disputes.
  • Manage J-Sox controls.

System Management

  • Manage customer and item master data in SAP.
  • Communicate and handle sales assignments in SAP for applicable areas.

Profile Description


  • High school/Bachelor’s degree in Commercial/Legal area.
  • Previous experience in a similar role, with a focus on public procurement (preferred).
  • Familiarity with the medical device industry is a significant advantage.
  • Proficient in English (written and spoken) and French.
  • Strong PC skills, including advanced proficiency in Excel; SAP knowledge is a plus.
  • Stress-resistant with excellent prioritization and time management skills.
  • Flexible, adaptable, and effective in managing changing priorities.
  • Meticulous attention to detail.
  • Excellent verbal and written communication skills.
  • Proven negotiation and influencing abilities.
  • Customer-focused mindset.
  • Ability to work autonomously and collaboratively as a team player.
  • Strong problem-solving skills.
