Within the BeLux BMS Value, Access and Pricing (VAP) department, we are looking for a:
ADMINISTRATIVE ASSISTANT

The VAP team in Belgium and Luxembourg works with detection, analysis and solution of economic, administrative and political barriers to enable full patient access to BMS medicines. External focus, cross- functional and project-based work are key parameters for this role.
This position is responsible for administrative support of a large department reporting to the Senior Director of the department along with supporting the managers of the department.
Main Responsibilities
- Provide professional administrative support to the VAP department with minimal supervision.
- Support the department with various administrative support activities such as PowerPoint presentations, Word documents and Outlook/calendar administration.
- Coordinate departmental meetings, including calendar invites, agenda compilation and minutes writing.
- Plan, arrange & coordinate large meetings, to include locating a facility, notifying participants, preparing agendas; attending meetings; recording results; tracking additional information or necessary follow-up.
- Own/align with finance to ensure that budget is managed within the guidelines.
- Ensure correspondence with external stakeholders as requested by Market Access managers, Hospital Access managers and Governmental Affairs and Policy manager.
- Manage calendar activity for the VAP director by resolving conflicting demands, scheduling internal/external/international meetings (virtual & in-person).
- Manage calendar and make appointment requests for Governmental Affairs activities.
- Manage contracts with suppliers and its process in the systems.
- Manage internal procedures for grants and donations
- Translate short documents to English, French or Dutch.
- Coordinate Tendering activities with the Hospital Access managers, incl. Cahier des charges analysis, admin follow-up and signature process.
- Follow-up of European pricing of the BMS portfolio via the internal pricing system.
- Fluency (spoken and written) in French, English and Dutch is required.
- In-depth knowledge of pharmaceutical market and health care environment.
- Relevant education, professional knowledge and experience.
- Works independently on projects under the general direction of VAP director.
- Advanced knowledge/proficiency with Microsoft Office applications including Word, Excel, PowerPoint & Teams.
- Must be able to maintain the highest levels of confidentiality, integrity and discretion.
- Excellent verbal, written, and interpersonal skills required.
- Reporting Skills, Analyzing Information, Proactive approach, Data Entry Skills, Financial Skills.
- Able to manage multiple priorities and ensure appropriate follow-ups. Highly organized and excellent time and project management skill.
- Ability to work under pressure and meet deadlines.
- Problem Solving: able to identify solutions to general problems through collaboration and creativity.
- Ability to generate innovative ideas/solutions.
- Understanding of patient access systems in hospitals and open care.
- Proved track record of collaboration within colleagues and matrix environments.
- Relevant university degree.
- Experience within the Belgian / Lux public health care administration.
- Experience with Market Access from the pharmaceutical industry.
- Experience in Governmental Affairs is a plus.
- Experience in tender management is a plus.
