To strengthen our Device Operations and Usabilityteam, we are looking for a talented individual to fill the position of Devices, Packaging and Wearable Technologies Portfolio Manager, based in Braine, Belgium.

As part of Device Operations and Usability team, this global role is focussed on providing portfolio management, budget, and project planning support transversally across the Devices, Packaging & Wearable Technologies (DPWT) organization.

This work will be performed in the context of cross-functional technical program teams that ensure the design, development, industrialization, and life cycle management of medical device programs to meet the needs of internal stakeholders and ultimately patients. In collaboration with the device program leaders and their cross functional technical teams, this role will ensure that program planning is created and up to date, track that the activities are adhering to the plan, and ensure that budgeting is consistent with these activities (including the use of SAP/ Ariba guided buying processes). The role will link with the Project Management Office and the Integrate DMSO team.

This position reports to Head of Device Operations and Usability.

Main Accountabilities
  • Portfolio management : construct and maintain DPWT’s portfolio in collaboration with DPWT Leadership team, Project Leads, Finance, PMO,…aligning projects and programs with strategic objectives, investing resources in the right work to deliver the expected value (prioritization, capacity/resource management, risks associated inside of portfolio, highlight bottlenecks, budget status, …)
  • Lead DPWT portfolio review reporting at least monthly to DPWT LT about projects within their portfolio (new project proposals, planning, gating, health status, risks, resource allocation (capacity), budgets (costs), performance tracking,…)
  • Build and oversee DPWT Project Manager community
  • Organize and facilitate the DPWT Project Delivery and Decision Boards (agendas, presentations, action log, minutes of meetings,…)
  • Actively participate in DMSO PMO monthly working team meetings and Delivery Boards
  • Identify pro-actively (anticipate) and address potential problems or areas for improvement and act on them in a problem-solving manner
  • Ensure program leaders are managing their program plans in Integrate to enable good management of projects inside of DPWT projects portfolio, in compliance to policies and governance
  • Assisting device program leaders with program budgetary activities including use of SAP/Ariba guided buying tools and processes, appropriation requests (APR), maintaining vendor and customer master data, purchase requisitions, goods receipt/ Service Entry Sheets (SES) transactions and resolution of invoice queries. This also includes preparation of budgetary summaries for reporting purposes.
  • Build the budgetary exercises in conjunction with Finance and DPWT representatives (10Y financial plan and 3Y resources planning)
  • Track committed & forecasted spend across programs in alignment with Finance to facilitate the management of the annual budget by the DPWT team.
  • Track adherence to project plans and delivery of services consistent with the planning and budgetary activities
  • Ensuring compliance with HS&E requirements

Minimum Qualifications
  • Bachelor’s degree
  • Project and Portfolio Management Certification
  • Proven track record in project management
  • Project management skills in planning, tracking, controlling, anticipating, challenging projects
  • Financial knowledge (e.g. budgeting, UCB systems such as SAP/ Ariba guided buying)
  • Experience in pharmaceutical industry (a nice to have)
  • HS&E processes and procedures
Specific Skills, Competences
  • Portfolio management
  • Project management (a project management certification (PMI, Prince 2, Agile,…) is a plus)
  • Excellent self-management, priority setting and planning skills
  • Program advocacy, negotiation (internal and external) and conflict resolution
  • Excellent ability to establish/maintain cross-functional working relationships, including remotely
  • Structured, organized, and analytical with attention to detail and results
  • Influencing cross-functional and matrix teams

  • Motivation, and self-starting, leading by example
  • English language is required
  • Written and oral presentation skills
  • Planisware (Integrate): project and portfolio management
