This position is with Strategic Perspectives, a pan-European think tank created to promote effective climate action as the solution to a multitude of interconnected crises facing the EU. Strategic Perspectives is a programme hosted by the Meliore Foundation.

Collaborating with like-minded organisations and informed by national contexts, Strategic Perspectives designs bold proposals that help achieve a well-managed transition to net zero emissions, a more equitable society, a clearer geopolitical positioning for the EU, and a future-proof industry across Europe.

The Executive Assistant will support the operational and administrative processes of the think tank "Strategic Perspectives" with guidance from the Executive Director and Director. This position will report to the Director of Strategic Perspectives.

We are looking for someone with a sound understanding of process and project management, administrative tasks, organisational structures, and getting things done efficiently, humbly and through supporting others.

How You’ll Contribute

  • Supporting the Executive Director and Director in preparing funders engagement, grant proposals, grant reporting and the annual report as well as setting up an Advisory Council,
  • Supporting the Executive Director and team in enabling a smooth workflow through maintaining the team’s task management system (Asana), the strategic planning of the organisation and other tools (calendars, mailing lists,...),
  • Supporting the onboarding of new team members, the organisation of joint team activities and preparation products that present the think tank and its main achievements,
  • Supporting the day-to-day operational functions of the think tank through liasing with the relevant teams in the Meliore Foundation, including Finance, People and Culture, Grants and Contracts, IT and Legal,
  • Acting as contact person for external partners on day- to-day operational questions, contracts and communicating operational processes;
  • Supporting the team with a calendar and logistics management - scheduling meetings (especially for the Executive Director), taking notes, preparing agendas and other supporting materials as needed, and planning and booking international travel as necessary;
  • Reviewing, organising and proof-reading documents as well as presentation materials;
  • Preparing and implementing event management for virtual and/or international in-person meetings including logistics, internal and external communication, supplier management, etc.;
  • Supporting other operations tasks as needed.

Our ideal candidate has

  • Relevant work experience of 3–5 years in an international work environment in similar tasks;
  • A passion for organising, problem-solving and supporting others;
  • Proactive and autonomous attitude and approach, creative problem-solving skills;
  • Excellent communication skills with a very good level of English (written and spoken), and the ability to process information and connect dots (lateral thinking); knowledge of French would be an asset;
  • Ability to manage deadlines and prioritise between multiple tasks as well as flexibility to deal with last-minute urgent requests;
  • Excellent attention to detail and an ability to "connect the dots";
  • Strong administrative and IT skills: experienced user of Microsoft Office including Word, PowerPoint and Excel, familiar with cloud-based collaboration tools (e.g. SharePoint, GoogleDrive, Asana, Trello);
  • Fast learner with a can-do attitude, solutions-oriented and comfortable to work in a dynamic international environment;
  • Discretion and diplomatic skills, and the ability to work with sensitive, confidential information or high level contacts;
  • An impeccable work ethic, an enthusiastic personality and a sense of humour;
  • A genuine interest in and passion for addressing climate change.
  • The disposition to work generously with colleagues in a high-trust global community of peers.
  • The versatile and adaptable skills necessary to flourish in a fast-paced and wide-ranging work environment and work across time zones using tools such as Zoom, Slack and email (Google Workspace).
  • A commitment to an inclusive and empowering approach to facing climate change.

Location:Brussels or Paris. Regular remote working

Some international travel will be required. We may be able to provide co-working spaces in some locations. Only candidates with the right to work in their location will be considered.
