Your mission:
As Manager People Services, you will play a crucial role in ensuring an outstanding service to our employees throughout their employee journey. Our People Services Team holds responsibility over Training, Facility (printing, office management, building management, archives) and HR administration activities (payroll admin, joiners, leavers, time registration, fleet management, …).
You will be managing a team of 5, whilst improving systems and processes and providing support to the overall People and Organisation team. This role also involves developing relationships with new and existing suppliers and reports directly into the People and Organisation Director (CHRO).
Your responsibilities:
  • Manage the People Services team to deliver a "first time right " approach to service delivery, coaching and development of key skills and knowledge ensuring adequate cover across all work areas, with measures put in place to avoid mistakes and inaccuracies.
  • Responsibility for ensuring that all HR administrative tasks across the full employee life cycle including pre- and post-employment administration, contract issue, contract amendments, and leavers process/documentation are carried out accurately.
  • Ensuring the facility activities are coordinated and executed in the most efficient way together with the team and our suppliers.
  • Fleet management in collaboration with our fleet agency.
  • Work in close partnership with our social agency to ensure accurate payments made and improvements identified. Our payroll activities are outsourced to SD Worx.
  • Control and distribute the costs related to the different activities
  • Coaching the team to provide accurate advice and guidance to HR related requests and issues, identifying and escalating risks or concerns where required and liaising with experts across the team as appropriate.
  • Drive continuous process improvement within the People Services team to enable the polyvalence into the team thus maximising opportunities for wider HR team to work on more value-add programs.
  • Participate in other HR activities of the broader team such as annual salary cycle activities including promotion, salary and bonus review applying knowledge and experience in support of these processes and providing relevant data and reporting when required.
  • Ensuring that the appropriate controls are in place and follow up the associated actions identified with responsibility for remediation plans if necessary.
  • Ensuring the systems across the department (e.g. Workday, E blox, Xaurum, Protime) are accurately maintained & liaison with central HRIS teams to ensure proactive improvements to the system where appropriate.
  • Manage relationship with third parties as some of our activities are outsourced and we have many vendors (training, facility, payroll). Develop our relationships by having a critical look at current functioning and SLA’s.
Your profile:
  • You have a proven track record in People Management.
  • Your field of expertise lies in payroll and comp&ben, and experience in Facility Management or Property Management is a strong plus.
  • You have a strong knowledge of Belgian social legislation
  • You are an excellent planner and communicator with the ability to present detailed information in a clear and structured format.
  • You are strongly committed to delivering high quality service to your customers
  • You are fluent in French and Dutch with a good knowledge of English
  • You have a strong problem-solving mindset with the ability to identify and address issues that may arise
  • You have the ability to adapt to changing circumstances and are able to lead your team through change
  • You can demonstrate a track record of driving results and achieving goals
