MANAGEMENT ASSISTANT
FT - Temporary (min 6 months)
As Management Assistant your main responsibility is to support our Local Management and their teams on both administrative and practical matters. With focus on employee comfort and process control. You support the Payroll-officer in all kind of administration.
Over the next few months, the tasks of Management Assistant will become more substantial.
Wondering how a day in the life of a Management Assistant looks like?
- You come into the office and greet every colleague who passes your way
- Read your agenda while you drink a cup of coffee.
- Meeting@9AM with the Catering Service. Lucky you prepared the open points yesterday and you’re ready to go. During the meeting you make the meeting minutes and send it to the participants, but you actively participate in the meeting keeping PSS and employees wellbeing in mind.
- After a career of 35 years Koen can retire. You plan his ‘going away’ party, make the invitations, make sure the catering is planned, … giving him a goodbye to remember.
- 3 colleagues need to go to Germany to visit our plant in Esslingen. Your responsibility is to take care of all the administrative aspect of the trip (approval of Global Management Team, hotel, pool car, housing, catering, visa, …)
- It’s time for lunch together with your team.
- Management Team Meeting starts at 1 PM. You prepare the PowerPoint and all other relevant documents for the meeting. Afterwards you make the meeting minutes and follow-up the open points.
- In between you plan meetings in the agenda of your local management and answer the phone of people asking all sort of questions.
- The last meeting of the day is together with the accounting team to fix a blocking PO in SAP.
- You post a message on our Facebook page to let all employees know that tomorrow is our monthly fruit day.
- You take a quick look at your tomorrow’s agenda and go back home after a fulfilling day.
But not every day is the same so here’s an unlimited list of what you’re responsible for:
- Manage stationary ordering & stock
- Manage company mobiles & follow up on mobile costs
- Organize admin of new employees (picture, profile, mobile phones…)
- Manage pool-cars, pool-mobile phones & rental bikes
- Organization & follow-up of internal trainings
- Support HRBP’s and HR Manager with organization of external trainings
- Maintain policy you are responsible for
- Chairman of the Fun@work committee
- Represent PSS in external workgroups (Voka, DBC…)
- Key user for Local SharePoint (announcements, events, trainings, …)
- Creating and sharing our internal communication
Time registration for blue and white colors
o Extra working hours
o Corrections of defaults
o Holiday requests
Overall administration for payroll reporting
o Preparing reports for the OR
o Input in Excel files
Overall administration for insurances
o Input & controlling
In your backpack you have:
- Minimum bachelor’s degree (Office Management is a plus)
- Perfect communication skills (Dutch / English) both spoken & written
- Perfect administrative skills
- Excellent in priority & time management
- Maturity to work on projects independently
- SAP knowledge is a plus
- Knowledge of HR-processes is a plus
As a person you are:
- A primary, approachable contact person, both for Blue and White collars and external companies
- Creative mind, negotiation skills, eye for detail & quality
- Flexible (working hours & job-scope) & multitasker
- Able to deal with confidential information
