About the Role:

This role within our organisation is a professional responsible for supporting the CEO. This will include scheduling, office managing, producing reports, editing documents, managing task, and maintaining the administrative functioning of the office.

Responsibilities

  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Managing the executives agenda with attention to balancing the number of meetings with time to work on activities and projects. Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Formatting and editing documents created by the executive on an as needed basis
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
  • Prepares reports by collecting and analyzing information.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Liaising work and other relevant tasks to in-house staff and following up on results.
  • Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
  • Maintains a CRM database for followups, invoicing, client relations
  • Tracks Executives tasks
  • Manage Social Media sites like Linked In
  • Supports research efforts by searching topics in online databases, surveying or emailing people with questions.
  • Performs office administration tasks for the CEO such as organizing receipts, interfacing with book keeping, purchasing, rent etc.

Skills and experience required:

  • Impeccable attention to detail, organization skills, and able to multitask effectively • Knowledge and capability to understand client’s schedule and work-life balance
  • Proactive and has the initiative to take on tasks and processes
  • Outstanding written, oral and research skills
  • Intuitive and has incredible problem-solving skills • Data entry skills and capable of reports as deemed necessary
  • Deadline-driven and impeccable time management skills
  • Tech-savvy and able to learn and be proficient with client’s email, calendar, MS Office and other related applications
  • General secretarial education or experience in the the role of the executive assistant
  • Minimum 2 years work experience in a similar role.
  • Strong communication skills, organisational talent, high level of initiative, attention to detail, flexibility, and commitment
  • Fluency in English (written and spoken). Dutch is a plus.
  • Strong proficiency in with Microsoft Office, Outlook, Teams, Zoom. Ability to quickly adopt diverse tools.
  • Experience with Exact is an asset
  • Work experience in an international environment is a plus
