Job Description

As a FedEx Executive Assistant you will be responsible for supporting a VP at FedEx to perform with optimal efficiency by providing a full, professional and comprehensive administrative and support service.

Key Responsibilities
  • Deal courteously and diplomatically with all levels of contact within FedEx, Customer & External organisations.
  • Plan and prioritize the evolving workload for VP, ensuring that optimal progress is maintained and results achieved for both short term and longer term responsibilities.
  • Organise VP agenda by scheduling events in the most effective way to support achievement of the VP’s objectives, whilst accommodating the requirements of other parties involved.
  • Plan ahead for VP absence, travel and vacation communicating to stakeholders as required and developing and co-ordinating cohesive travel itineraries.
  • Provide comprehensive and efficient secretarial services including preparing information and logistics for meetings, drafting correspondence, creating and updating reports and manuals, presentations, running projects etc.
  • Maintain an effective and secure system to collate and manage information flows and approvals inc. for HR and Finance related information and for Expense and Invoice processing and tracking. Ensure compliance with FedEx processes and policies.
  • Provide support / cover as and when needed for other MD/VP/SVP assistants e.g. during absence or vacation.

The Ideal Candidate Will
  • Be an Admin Assistant with strong interest in classical admin job (agenda management, travel arrangements, daily office management etc.) but also in the broader sense (meeting notes taker, Powerpoint preparations, Department Analytics and number crunching, Project Management,...).
  • Have common sense, humor and keeps calm under stress.
  • Can handle change at a fast pace - also when it happens to you.
  • Be an out-of-the-box problem solver.
  • Be just out of college/university and looking for a first job (wants to start a career and sees this as a stepstone) or be seasoned with years of experience.
  • Be flexible
  • Be a self-learner and eager to learn new process, tools, etc.
  • Be analytical and have an interest in people, service and profit.
  • Have worked previously in an IT department, it helps but is not a must.
  • Be passionate about providing advanced level secretarial/administrative support services in an international and dynamic environment.
  • Be able to work autonomously with integrity and discretion.
  • Have excellent written and verbal communication skills, plus fluency in English and local language.
  • Have excellent planning and organising skills with experience of coordinating multiple arrangements within required timeframes
  • Have good judgement and decision making skills.
  • Be Quality focused, accurate with attention to detail.
  • Have good PC Skills including all MS Office packages.
  • Be able to work legally in Belgium (pls refrain from applying if not in possession of the required permit to work in Belgium)
  • Be able to travel by plane, train, car etc.
