Job Description

PURPOSE OF THE JOB
In Novartis, collaboration and co-operation across teams and divisions are part of our key priorities in order to become OneNovartis. In this spirit, we are currently looking for a collaborative, pro-active and customer oriented Assistant, who likes to actively engage with stakeholders and support them in their day-to-day financial administration activities.

This role will report to the Oncology Head of Business Excellence and Strategy Capabilities and will work alongside the colleagues from the other functions to assist on the financial administration processes.

WHAT DOES THIS JOB DO?
Actively collaborate with the franchises and cross-functional teams on financial administration activities to ensure timely contracts and payments.

Your responsibilities include, but are not limited to:
  • Handle the administrative activities linked to the financial administration processes, being responsible for taking all the necessary actions and guaranteeing the delivery on time, also in case of absence of the line manager/team members
  • Be responsible to inform, advise and support the teams and onboarding of the new associates on processes, guidelines and services that are specific to the financial administration
  • Support optimization of current processes and/or introduction of new or modified processes
  • Plan and coordinate administrative procedures and systems and devise ways to streamline
processes
  • Ensure good relationship and communication with vendors and third parties
  • Update the monthly Accounts Payable (A&P) tracker and accruals
  • Provide support for vendors creation, risk evaluation and service scope assessment through the supplier information management tool
  • Actively assist the teams for the contracts with vendors and/or third parties and for the Purchase Orders (POs) management in E-Shop: POs creation, follow-up deviations, goods receipt

Minimum Requirements
  • Bachelor’s degree
  • Minimum of 3 years’ experience of administrative experience in complex multinational company
  • Prior experience in financial administration support, vendors/third parties management and financial administration tools
  • High customer focus and operational excellence
  • Fluent in English and French or Dutch. Knowledge of all three languages preferred.
  • Affinity and interest in digital tools
  • Must be able to work in a cross-functional team with open mindset
  • Strong communication skills and best practice sharing
