The Protocol Document Assistant works for the Protocol Development Unit (PDU) and provides logistic support for protocol document creation, development, editing, review, version control and maintenance.

Main responsibilities / Major Activities

Document creation and management

  • Maintenance and update of standard chapters/ appendices library, guidelines and templates
  • Maintenance and update of the standard sections in the protocol documents and ensuring that the right version of standard chapters are used
  • Creating protocol documents
  • Ensuring that the layout and format of the protocol documents are consistent with EORTC standards including PDF processing if applicable
  • Maintenance and tracking of versions of protocol documents
  • Collection and compilation of the comments/ reviews/ approvals
  • Managing amendment of protocol documents including issuing new versions of the protocol documents (with and without track changes)

Document review coordination

  • Request/ checking/ tracking of green lights/ endorsements
  • Manage review of protocol synopsis and protocol documents including contacting reviewers, tracking reviews and circulating decision letters

Other tasks

  • Organization of meetings and writing of minutes/ preparation of letters
  • Filing (electronic and paper filing) and archiving for PDU
  • Update of the PDU database and maintenance and update of the membership lists
  • Drafting reports
  • Development and maintenance of guidelines and attending training

Profile

  • Bachelor’s degree or experience in a similar function
  • Strong command of the English language and good writing skills
  • Organizational and time management skills
  • Detail-oriented
  • Proficiency in MS Office (Outlook, Word, Excel)
