Job Summary

The primary responsibility of the HR Services Officer is to ensure expertise in operational HR domains: to support the HR Manager and HR Business Partners in operational domains and duties of a highly confidential nature. The HR Services Officer acts as SPOC for the associates in all HR administration/system related matters.

The position of the HR Services Officer is based on the Haasrode site. The scope is Terumo Europe (headquarters, manufacturing, local sales organisation, EDC Genk and other smaller countries).

Job Responsibilities

As HR Services Officer you’ll cooperate and support HR in providing correct and timely administration in following HR processes:

• Drawing up appropriate employment contracts/amendments to employment contracts
• Preparing of welcome brochures, goodie bags, initials, badges
• Manage temporary suspension requests (e.g. Time Credit, Parental Leave, Medical Leave, etc).
• Organizing and follow up medical check-ups (standard medical check-ups, check-ups for management and supervisor, flue vaccination)
• Manage administration of temporary personnel/student workers, prepare and provide necessary reporting to Finance
• Manage administration of expatriates: liaising with external partner for work permit, temporary and definitive housing accommodation, health insurance and housing insurance
• Works council and unions administration
• SAP: approving invoices related to temporary workers/student workers, vendor creation, creation and follow up of purchase orders/good receipts
• Ordering of flowers/sending of cards (marriage, births, etc)
• Ordering and follow up on business cards, on orders related to office supplies
• Organizing of events: seniority celebrations, Saint Nicolas Party, etc.
• Supporting the Talent Solutions team with the organization and logistics of scheduled training offerings in close cooperation with the (external) trainers

You’ll also be responsible to guarantee data quality, by entering and maintaining all employee information in the HRIS tools.

Promoting, implementing and improving internal communication will also be one of your main tasks. You’ll update/maintain the different communication boards (ad valvas & electronic screens), Terumo Europe sharepoint for HR.

You’ll have a close collaboration with the internal payroll department related to new hires, promotions, contracts suspensions, exits, ... Additional you’ll organize and realize all expatriates social and legal matters in cooperation with the external partners and the internal payroll team.

As HR Services Officer you’ll also participate to ad hoc HR Projects.

Profile Description

You have a Bachelor degree or equal by experience, with experience in a European headquarters of a multinational.

You are oral and written fluent in Dutch and English. If you speak other European languages, this can be seen as an asset.

You have basic knowledge of Belgian social legislation - more advanced knowledge and/or payroll experience is an asset.

You are a born multitasker and you can easily deal with new systems.

You’re a born teamplayer and are happy to colaborate with your team members.

You like being a contact person for the whole company - consequently you’re service minded and like to help our associates.
