Job Description
Office & administration:
- Welcome clients and visitors to the office/plant and assist them as needed;
- Support office workflow procedures to ensure maximum efficiency;
- Suggest changes to office workflow in order to improve efficiency;
- Maintain a clean and organized office environment;
- Support general bookkeeping duties (petit cash, expense reports, invoices, …);
- Support files and records with effective filing systems;
- Monitor office/kitchen/cleaning supplies inventory and place orders when needed;
- Reserve spaces for meetings;
- Responsible for all kind of meeting needs such as lunch and drinks;
- Schedule agendas / travel and lunch arrangements / appointments etc.
- Notify and remind all parties of upcoming events, lunches, meetings etc.
- Assist in vendor relationship management ( bookings in SAP);
- Responsable for collecting and posting letters;
- Support Senior executives when necessary;
- Manage and maintain pool cars;
- Arrange travel and accommodation for employees and company guests.
- Serve as a general resource and point of contact for travel-related issues; assist employees with travel-related issues or concerns.
- Act to ensure safe and efficient travel operations, in accordance with organizational policies and guidelines.
- Receive and respond to incoming travel requests on behalf of the organization.
- Perform special projects and assignments as directed.
- Drive continuous improvement of travel programs and compliance to policies.
Job Requirements
Experience / Knowledge
- +2 years of experience in administrative positions/departments (preferably in office administration);
- Hands on experience with “back-office” and accounting software (preferably SAP);
- Basic knowledge of bookkeeping and office management systems and procedures;
- Effective verbal and written communication skills both in English and Dutch. Spanish, German and French is a plus;
- Outstanding communication and interpersonal skills and the ability to work effectively in a diverse environment;
- Excellent administration, organizational, and time management skills;
- Ability to work under deadlines and time constraints;
- Multi-tasking attitude;
- Accuracy & attention to detail;
- Proactive problem solver;
- Ambitious and a quick learner;
