Bioqube Ventures is an early-stage global life sciences investment firm with offices in Belgium (Antwerp/Hasselt) and the US (San Diego). We source, finance and develop first-in-class and/or best-in-class therapeutics to treat patients suffering from debilitating diseases. With our product focused investment strategy, we aim to build balanced portfolios spanning company creation, preclinical and early clinical investments.
We are looking for a seasoned Office Manager / Executive Assistant to support our global team. This role requires an organized, proactive, and detail-oriented professional who thrives in a dynamic environment. This position is in Hasselt (Belgium), providing a vibrant workplace with easy access for collaboration and team engagement.
Job description:
Management support:
- Maintain and update agendas and schedules.
- Organize travel arrangements.
- Coordinate and schedule internal and external meetings across time zones.
- Take minutes in meetings and follow-up on action items.
- Provide general administrative support to management as needed.
Administrative tasks:
- Track holidays, absences, and team presence.
- Manage and follow up on expense reports.
- Process and file invoices, ensuring timely handling.
- Organize and maintaining both physical and digital filing systems
General office management:
- Order and manage office supplies and materials.
- Manage office maintenance, cleaning services, and vendor relationships
- Ensure office well-being.
Other Responsibilities:
- Organize team-building activities and corporate events.
- Identify and implement improvements to office processes.
Profile:
- Experience in office management, executive support, and administration, preferably in the venture capital / PE industry.
- Strong organizational skills with excellent time management abilities.
- Ability to multitask and prioritize workload efficiently.
- High attention to detail, with a solution-oriented and proactive mindset.
- Strong written and verbal communication skills.
- Fluent in English and Dutch.
- Familiarity with accounting tasks and financial administration is a plus.
- Affinity with life sciences or experience in a similar industry is an advantage.
- A creative mindset with the ability to suggest and implement process improvements.
