People & Culture Agile Projects Administrator (0.6 FTE)
Purpose of the job
We are looking for a colleague who will support our Benelux Agile team by taking care of all administrative flows in our employee administration related to changes in staff (entry, move, exit). Our Agile team exists of 5 colleagues working closely together on all People & Culture and Facilities related matters. You will be part of this team!
The new agile mindset requires you to be open-minded, willing to learn, flexible, team-oriented and question the way things are currently done within the agile projects team and being also collaborative and supportive at ad hoc and relevant activities.
We have an office in Belgium (Strombeek-Bever) and in The Netherlands (Amstelveen). Because this position has responsibilities across the whole Benelux, the position can be located in both locations. This part-time position represents 0.6 FTE, which is 22.5 working hours a week.
What will you do?
Employee Administration
- You will be responsible for all basic employee administration relating to a business change (i.e. administrative onboarding, move to new positions, change of work regime, offboarding, etc.) such as
- Submitting all requests to the Business Service Center
- All administrative processes related to employee lifecycle changes wherever needed (onboarding, address change, position change, offboarding, etc.) You will use agile frameworks and tools to deliver your tasks.
- You will be coordinating vendor invoices with the Global Business Service center (GBS) i.e. trace requisitions, Purchase Order numbers, incorrect invoices, reminders, contact with vendors.
- You will also be a pioneer to adopt the agile mindset in P&C by establishing and maintaining a good relationship with suppliers of the department’s areas of responsibility. You will check that the quality and quantity of services and goods provided respect the defined standards within the contract.
- You will also support in People & Culture, Facilities, Sustainability, Healths and Safety, and Car Fleet-related projects and tasks that arise in an agile way.
- It is also an important responsibility to back up for other team members.
- Your professional and intellectual capacities are at least at the high school level
- You have extensive experience in a role that requires a good understanding of working by processes and which required great administrative skills.
- You can share and apply the previous experience of working in a multinational environment what is preferred
- Your Dutch and English verbal- and written skills are on fluent level, French is nice to have
- You have excellent knowledge of MS Office. Knowledge of SAP or a similar ERP system is preferred.
