the vx capital investment team manages the portfolio of capex automation projects in belgium and global operations. the team is responsible to ensure all capex automation projects are delivered according to plan with safety & quality standards as a priority. the team is also accountable for the adherence to engineering standards and practices in the projects. prompted key requirements from automation projects (cyber security, automation obsolescence management, data integrity, and others coming in the foreseeable future), the position of project planner, critical to enabling the successful delivery of global, multi-site automation capex projects, must be filled. the project planner will report directly to the global project manager or to the global project planner.

your responsibilities:

core planning

• you develop a master project design and global centralized execution schedule as required by the project manager at the various phases of the project life cycle. this consists in:

• collecting all schedules and activities - in a predefined format set up by you and followed by all the satellite project teams - from individual sites and central delivery that are part of the project or program and consolidating them into a global centralized schedule
• aligning those timings with the planning information from within the central team and creating a single governing tool for all activity across all entities and functions involved in the project or program
• tracking the actual performance and delivery of planned activities on a continuous basis by establishing direct communication and information exchange protocols with all entities involved in the program
• challenging as needed the schedule information from different entities and actors in the project/program and ensure a high level of integrity, quality, reliability and exhaustiveness in all data you collect and centralize

• you collaborate closely with the project manager, operations manager, tech demand manager and other relevant roles on the project to design the planning approach and translate the program roadmap in a holistic gantt, including the sites planning which will be provided to you by the local site project planners where they exist
• you work closely with the tech demand manager to replicate the planning from the sites and central team into a planning that can be followed by the tech team. you dynamically adjust delivery timelines according to site requirements and priorities
• you prepare advance planning to enable tech resource capacity planning / workload smoothing and adjust planning to reflect limitations and possibilities identified through the tech demand manager
• you lead, together with the tech demand manager, bi-weekly update calls with sites, in which the plan is reviewed and updated. in doing so, you support the tech demand manager in confirming with sites which application instances are planned for migration/upgrade next
• you work closely together with the tech demand manager to optimize the ticket prioritization, forecasting, planning and controlling towards the tech organization
• you determine, with support from the project manager, the planning impact of any scope changes which are raised by the central, local or tech teams
• you liaise with other project team members and external contracting bodies as necessary to ensure the smooth flow of relevant information required for scheduling purposes
• you set up the meeting charter for any planning meetings and include these in the project standard calendar if needed

pmo and kpi tracking

• you design and build a tracking and reporting framework enabling you to efficiently provide planning and progress kpi (per site, per responsible, per entity) to the project leadership or to project governance
• you ensure that all members of the project team are updated on the status of project schedules by reporting on progress, especially at key milestones
• you develop and maintain all planning tools and documents in compliance with project management framework. you also comply with the reporting requirements in place such as but not limited to, recurrent ms project online updates and project status updates

cost and cashflow

• you perform a monthly review of the status in which you clearly report the physical progress and you support the cost controller in adjusting the cash flow curves and invoice forecasts for the local and the global teams

• engineering degree or equivalent in it, mechanical, automation, electrical or chemical
• robust experience with it/ot automation projects
• robust experience with planning with large, multi-level, international projects
• background in the pharmaceutical industry is a plus
• fluent in english, french is a plus
• strong experience with microsoft project, microsoft project online and microsoft power bi
• minimum 5 years of capex project management or planning experience
• pmp certification is a plus
• leadership, team management, organisational, stakeholders management, negotiation and influencing skills
• experience with agile methodology (atlassian jira is a plus)
• robust experience with preparation of presentation for senior management
• knowledge of specific automation subjects as data management and data integrity, obsolescence management, cyber security standards, process control system is a plus
