A global multi-assets single-family office is looking to strengthen its financial team after a period of growth. The group is based in Luxembourg, with operations in Europe, US and Asia. The company is widely diversified and active in the fields of real-estate, hospitality, luxury, liquidity management and VC/Private Equity. The group is also dedicated to Philanthropy, based on its values of social responsibility.
As Administrative Assistant, you will mainly:
- Office organization: ordering equipment including IT, stationery, refreshments etc.;
- Maintaining the physical and digital filing systems;
- Dealing with incoming and outgoing post and couriers;
- Dealing with service providers to set-up and maintain local contracts and coordinate timely receipt and payment of invoices;
- Support team as required, e.g. preparation of presentations, coordination and circulation of documents for signature etc.;
- Preparing and reconciling monthly periodic expense claims;
- Work closely with the CEO for agenda management (update and checking every day and coordinate meetings, trips and specific needs);
- Booking and arranging travel and accommodation for team;
- Distribution of pay slips;
- Responsibility for facility day-to-day office operations e.g. maintenance, liaison with landlord;
- Assisting team members with other tasks as directed.
For this recruitment, your qualifications are:
- Bachelor’s degree in Business Administration or Management
- Proven experience of minimum 7 years in a similar position
- Fluency in French and English is mandatory, German is considered as an asset
- Strong knowledge of MS Office applications (Word, Excel and PowerPoint)
- Good team player, positive with a pro-active attitude
- Attentive to details and thoroughness
- Ability to work under pressure, multitasking and meet tight deadlines
- Good communication and organizational skills
