DescriptionWe are continuously growing and we are looking for a Business Operations Support Administrator/Receptionist to join our UniQue team in Brussels. In this role, you will provide support to the F&A Manager and operations, manage front desk & general administrative activities and ensure smooth daily office operations.Responsibilities
  • Coordinate and manage front desk activities, including answering phone calls and welcoming guests
  • Act as first point of contact for internal and external stakeholders
  • Maintain management team’s calendars and effectively arrange and assist with meetings, (tele) conferences, and team building sessions
  • Monitor calendar and schedule meetings
  • Create and edit documents, reports and presentations and update logs and order forms
  • Manage post and daily mail/deliveries
  • Update and maintain office policies and procedures
  • Maintain office supplies inventory and place orders as needed
  • Coordinate travel arrangements
  • Administer and coordinate employee benefits such as company cars, phone subscriptions
  • Submit and reconcile expense reports
  • Provide assistance to other departments whenever needed
  • Deal with emergencies in a timely and effective manner, while streamlining office operations
Requirements
  • At least one year of experience as an administrative assistant, receptionist or in a customer service role in a corporate working environment
  • Excellent verbal and written communication skills in English and French (written and verbal)
  • Knowledge of Flemish and German will be considered a plus
  • Proficiency in MS Office (MS Excel, MS Word and MS PowerPoint, in particular)
