Responsibilities/Duties
Accurate inputting of customer orders.
Answer and deal with incoming telephone calls from customers in a professional manner.
Process customer complaints and ensure actions are taken and fed back to customers.
Provide quotations to customers.
Calculate and order non-standard finishes as requested.
Generate invoices including proforma invoices.
Liaise with other departments to ensure customers receive information relating to their order in a timely and professional manner.
Send out marketing material and samples as requested.
Check system against daily loading list.
Issue and liaise with customers for despatches.
Provide weekly export list and forward to the Despatch team.
Ensure all documents are prepared and distributed as per letter of credit/cash against documents.
Prepare any other documents needed for export in a timely manner.
Liaise with freight-forwarder and advise number of containers required to fulfil order.
Liaise with Despatch to confirm loading dates and times.
Prepare documents (invoice, packing list, etc.) and forward to freight-forwarder and customer.
When required, submit applications to the Chamber of Commerce for Certificate of Origin.
Once paperwork has been completed and collated, send copies to customers with originals sent via courier.
Obtain freight quotes as requested.
Candidate Skills
The successful candidate must be fluent in Dutch, English, German and French - both verbally and written.
Previous professional experience in an administrative role (experience of working within a manufacturing company would be advantageous).
Strong customer service skills, with the ability to communicate effectively at all levels.
Proficient in the MS Office suite.
