Duties And Role

The In-processing/Out-processing Assistant is responsible for providing administrative support and assistance in the in-process and out-process for newcomers and leavers linked to SHAPE.

The ideal candidate will have strong organizational and communication skills, attention to detail, and a customer-centric approach to deliver an outstanding in- and out-process delivery.
  • Assist in the coordination and execution of the in-processing and out-processing of the newcomers/leavers in SHAPE, including gathering and organizing necessary paperwork, forms, and documents such as, vehicle registration and ID issuance.
  • Enter and maintain accurate employee information in HR Systems such as APMS and Oracle (EBA) databases.
  • Provide administrative support to the Registration Office, including scheduling meetings, managing calendars, and maintaining electronic and physical filing systems
  • Respond to inquiries from new employees/leavers regarding the onboarding/off-boarding process, policies, and procedures, providing timely and accurate information
  • Maintain confidentiality and handle sensitive employee information in a professional and discreet manner.
Skill, Knowledge & Experience
  • The candidate must have a currently active NATO SECRET security clearance
  • High school diploma or equivalent; additional certification in office administration or related field is a plus
  • Proven experience in an administrative or clerical role, preferably in a human resources or onboarding/off boarding setting
  • Previous experience in NATO or National Armed Forces in a similar role to understand the military and civilian status and procedures
  • Strong organizational skills and the ability to manage multiple tasks simultaneously while paying attention to detail
  • Excellent verbal and written communication skills, with a friendly and professional demeanor when interacting with employees with different background
  • Proficiency in using Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications
  • Familiarity with APMS or other database systems (EBA) for data entry and maintenance.
  • Ability to prioritize workload and meet deadlines in a fast-paced environment
