The Medical Department is seeking a new Medical Liaison Officer to strengthen its team. The Medical Liaison Officer will report to the Head of the Medical Department or a designated senior member (Senior Clinical Scientist or Senior CRP).

In this role, the Medical Liaison Officer will act as the primary point of contact for disease-oriented groups and cross-discipline committees, taking on key responsibilities such as managing communications and coordinating task force and committee meetings. The position requires close collaboration with both external stakeholders and the internal HQ team, ensuring the seamless execution of various scientific initiatives. The successful candidate will play a critical role in ensuring the smooth operation of the group’s scientific activities in close collaboration with the Medical Representative.

Main responsibilities / Major Activities

  • Group and Committee Point of Contact: Serve as the main liaison for the group or committee, managing requests from various sources. Attend meetings on a rotating basis to ensure consistent representation and follow-up. Responsibilities also include coordinating collaborations with other study groups.
  • Coordination of Shared Resources: Maintain and update the group’s SharePoint site, ensuring that all relevant documents and resources are well-organised and accessible to the team.
  • Management of Scientific Task Forces, Working Groups, and Subcommittees (excluding bi-yearly group meetings): Organise and coordinate meetings, including scheduling via Doodle polls, sending reminders, and booking venues if required. Work closely with external stakeholders and the HQ team to finalise meeting agendas and ensure accurate documentation of meeting minutes. Attend select meetings to provide support and follow up on action points.
  • Group and Committee Bi-Yearly Meetings: Support the coordination and articulation of the group’s involvement with the Network Relationship Office, working alongside the Group Liaison Officer.
  • Coordination of Scientific Reporting for Internal Auditing: Oversee the preparation and submission of scientific reports, ensuring regular follow-ups with officers to guarantee timely and accurate completion.

Profile

  • Proven experience in a scientific environment, project management, or similar roles.
  • Strong organizational skills, with an ability and flexibility to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills in English.
  • Detail oriented.
  • Proficiency in using SharePoint and other project management tools.
  • Experience with scheduling and coordinating meetings, both internally and externally.
  • Ability to work collaboratively with cross-functional teams and external stakeholders.
  • Proactive and team player.
