Description
In recent years, VLAIO has automated various administrative tasks using RPA (Robotic Process Automation). The application of RPA and automation, in general, has had a positive impact on the workload within the organization. Therefore, VLAIO aims to further automate processes. Recently, a service framework for Robotic Process Automation (RPA) within VLAIO was developed with the goal of promoting and implementing automation.
The RPA developer is responsible for:
  • Mainly developing and documenting automations primarily using RPA in UiPath and potentially in Power Automate (Flows).
  • Maintaining existing RPAs (which has grown to about 6 applications in the last year).
  • Occasional technical support for citizen developers (users who develop smaller applications themselves).
The assignment requires a commitment of 2 days/week. The broader implementation of RPA and automation is an initiative that VLAIO aims to continue and strengthen.


Context
VLAIO operates in a Windows 10 environment and uses Microsoft Office 365. Another important application is KRIS, the CRM system based on MS Dynamics. VLAIO also has a data lake set up in Azure. VLAIO primarily uses UiPath for RPA and, to a limited extent, Power Automate.
The automation team’s goal is to roll out automation at VLAIO in a structured manner. This includes detecting and selecting opportunities for automation, managing development, ensuring safe and reliable application, monitoring performance, and maintaining automations. A framework of agreements has been developed, standardized methods and procedures are applied in automation, particularly in RPA, to meet development and documentation requirements. The aim is to minimize the impact of incidents on service delivery and thereby improve VLAIO’s daily activities.
RPA is just one of the possibilities for automation, but due to its wide applicability, it plays a crucial role. While application-specific teams handle automation within an application, VLAIO aims to involve expertise and capacity in the automation team for RPA developments.
