Transportation Management and Finished Goods (FG) shipments execution
- Be the “single point of contact” and the subject matter expert for External Supply based in EMEA region for all matters related to transportation, logistics, Quality and Compliance (incl. temperature control and monitoring) and Customs.
- Review new/changed transport requirements or projects and secure communication of these requirements to the External Supply Operations Teams as well as address any External Supply requirement or organizational changes that may impact logistics and the freight forwarder network to the dedicated transportation organization within IO.
- Drive resolution of ES vendor related transportation issues in close collaboration with IO Logistics & Delivery Operations.
- Develop a close working relationship with the IO LDO organization (EMEA and Global). Represent ES in transportation related business review meetings and/or Logistics compliance related Audits.
- Resolution of escalated issues in FG Critical Shipments and Tolling transportation management.
SOX Compliance & Inventory Management
- Full annual SOX compliance for inventory management on all Supply Point Company legal entities.
- Perform Risk Control Management.
- Vendor management of external service provider for annual Cycle counts.
- Lead and represent External Supply in SOX audits related to the European managed SPC Legal Entities (external and Corporate) in close collaboration with Intercompany Operations Finance and External Supply Finance.
- Ensure adequate Segregation of Duties (SOD) within the inventory process and related system access (monthly reporting).
- Solve blocked invoice payments for our External Vendors in support of Accounts Payable, ES Finance and ES Operations.
- Account management of any applicable outsourced service provider(s) in relation to Inventory Management.
- Training Compliance Management: manage training accounts for all European-based learners from all ES Business Units. Document training programs/records and govern annual IDPs to seek and organize adequate learning opportunities.
Reporting / Analyzing
- Develop / Run reports from SAP BI/BOBJ and Supply Chain Digitization system, analyze/process data and feed results into tracker files.
- Quarterly analysis and team resolution coordination of GoodsReceipt-InventoryReceipt issues (maintain below 1Mio USD for all aging groups).Make sure tolling & Cycle Count tracker files are updated and published within agreed timelines.
- Maintain and publish monthly metrics. Development of special need reports to ensure compliance of financial and procurement processes (e.g. True-Up oversight)
Improvement initiatives
- Participate in the ongoing evolution and development of initiatives within the External Supply network that improves operational effectiveness, process robustness and site supply chain logistics capabilities.
- Lead, communicate and facilitate the implementation of various projects, processes and CI initiatives to the supply chain teams when related to Compliance, Logistics/Transportation, critical shipments monitoring, Customs Affairs and/or Quality.
- Collaborate with all other teams within (Intercompany Operations Customer Service, logistics, transport, customs etc.) and outside IOAO Global Supply to assure supply and improve efficiency of processes
- Continuous improvement of transportation modes and routings to reduce freight cost. Work closely together with Global ES Finance team to secure correct understanding and analysis of the actual transportation costs, as a basis for further cost reductions.
- Work with different stakeholders (Supply Chain planning, VSOT, Regional logistics centers, plants and network supply).
- Ensure procedures, work instructions and reports used in the team continue to reflect the actual process and are in line with Standard Operating Procedures.
People management
- Lead the assigned Transaction Support & Inventory Specialist team (direct reports 5 – 7).
- Build a highly engaged working environment, create a culture in the team in line with Viatris values.
- Guide and coach assigned Transaction Support & Inventory Specialist team to fulfil their accountabilities.
- Follow the HR (performance) cycle.
