Who are you in our On IT story?
Are you an accurate and organized professional with a passion for administration? As an administrative assistant, you will manage correspondence, process data, maintain contracts and support financial administration. You act as a central point of contact and ensure efficient communication between departments and external partners. Join our dynamic team!
Responsibilities
Correspondence and emails
- Process, manage and follow up on incoming and outgoing correspondence and emails.
- Ensure proper filing and recording of communications so that information remains easily accessible.
Data processing
- Accurately enters, maintains and updates data in internal systems and databases.
- Periodically report on data processing and identify potential areas for improvement.
Contract Management
- Carefully process, review and record contracts and related documents.
- Archive contract documents in an organized and accessible manner.
- Monitor deadlines and contract extensions to ensure timely follow-up.
- Assist in drafting and modifying contracts as needed.
Financial administration
- Review, process and record incoming and outgoing invoices.
- Maintain overview of outstanding payments and follow up on overdue invoices.
- Ensure correct processing of financial documents in accordance with internal procedures.
Communications
- Function as first point of contact for customers, suppliers and internal departments.
- Answering questions and providing support in administrative and operational processes.
- Maintain clear and constructive communication with various departments to ensure collaborations run smoothly.
Who are you?
- A degree in a relevant field (administrative or secretarial).
- Experience in a similar position is a plus but not a must.
- You combine administrative accuracy with customer focus and organizational ability.
- A proactive attitude and good communication skills.
- Knowledge of MS Office (Word, Excel, Outlook) and willingness to learn new systems.
- Experience with an ERP system or other administrative software is a plus.
- You are not afraid to interact with customers
- Perfect command of the Dutch language and good command of French, both spoken and written.
- You are customer friendly, structured and stress resistant.
- You work accurately, independently and are solution-oriented.
- Knows how to maintain proper focus under time pressure and deliver results on time.
