Your position as a CHRO / HR Executive AssistantYou will be responsible to support the Group Chief Human Resources Officer and her team based in Louvain-la-Neuve in the fields of general administrative support and HR related assistance in order to contribute to the smooth running of the department in a confidential and pro-actively manner. You will also contribute to vehicle a professional and service-oriented image of Carmeuse HR department in and outside the organization and will help in building a good cohesion within the team.Scope :
  • Group positions: +/- 160 employees of which +/-100 in our HQ in LLN and the other spread within our affiliate companies.
  • European positions: +/- 90 employees of which 70 are in LLN and the rest throughout our European sites.
  • Reporting line to the Group CHRO and supporting the HR department.
Your responsibilitiesThe focus of your position is an a dministrative support to Group CHRO & HR Team:
  • Providing prompt, accurate & efficient administrative support to the Group CHRO and the HR department (HR Business Partner Corporate, Shared Service Center HR, Talent Team).
  • Proactively supporting CHRO in the timely organization of her work, projects, fly booking , and office work.
  • Being responsible for the preparation and smooth running of meetings.
  • Writing documents and correspondence including emails , letters , memos , presentations , forms , policies , meeting minutes and procedures in a timely, accurate and complete manner including the handling of confidential information.
  • Collaborating easily and efficiency with the other Group and EU assistants.
  • Maintaining the personal files of the executives.
  • Supporting the budget & forecast processes for the HR department.
  • Supporting the HR department in SAP/Oracle administrative tasks.
  • Supporting the Corporate HRBP:
    • Responsible for activities ensuring positive onboarding experience of new staff:
      • Supporting the managers in development an onboarding program.
      • Ensuring the new employee has all the equipment needed to start working.
      • Planning and implementing of orientation training days for new employees.
      • In charge of the orientation of new employees as Welcome Coach.
      • Organizing breakfast/lunch on-board activities between newcomers & leadership teams.
    • Supporting Corporate HRBP for activities related to staff development and mobility.
    • Coordinating offboarding activities.
  • Managing the invoice and payment process through SAP for the HR department.
  • Organizing global management meetings (identifying where the event will take place, activities, reaching out to external speakers, restaurants, flights, taxi organization…).
This position will be based in the LLN headquarters of Carmeuse in Belgium.Your profileExperience
  • Relevant experience as a CHRO Assistant or HR Department Assistant.
  • Strong experience with Corporate Environment and matrix organizations.
Education
  • Bachelor’s degree in Executive Assistant, Law, Human Resources or Business-related subjects or equivalent by experience.
Languages
  • Fluent in French and English

  • Perfect written and oral communication skills both in French and English
