The opportunity

We are looking for a dedicated, well-spoken onboarding specialist to join our HR department. The responsibilities of the onboarding specialist include helping new hires learn the company policies, showing new hires their job duties, scheduling start dates for new hires, and gathering the necessary paperwork.

To be a successful onboarding specialist, you should have a good working knowledge of labour legislation and experience with HR practices. Ultimately, a top-notch onboarding specialist should be a great communicator with a flair for interacting with new people

About the team

In your role as “ HR Onboarding specialist “ you report directly to the Head of Payroll Belgium. Your mission is to safeguard the human approach and guarantee the candidate an excellent and customer centric “pre- and onboarding” journey by offering high-added value services to welcome the new employee and give them a great onboarding experience while supporting the talent attraction team , the hiring manager and the HR business Partner with all administration. You will experience this in your everyday life as a Worldliner.

Your day-to-day responsibilities include

  • You act as single point of contact for the hiring managers in your scope with whom you build a strong business relationship and support them with all actions needed for the pre- and onboarding once a new candidate has been found. You monitor the progress of all actions in order to guarantee “excellent” first days for the new employee.
  • You are the single point of contact for the candidate to be hired and in charge of gathering all position details before start and making the contract offer , preparing the labour contracts, non-discloser agreements…
  • You maintain and update the onboarding documents library
  • You gather and execute all paperwork for the needed tools and material for the new employee and you schedule the first days.
  • You create clear policies and onboarding handbook
  • You welcome new employees upon their arrival
  • You prepare the onboarding kits
  • You ensure hiring managers and new hires have technical assistance to properly set-up their hardware/ software environment/ needed accesses, activate the accounts …. according to the company policies.
  • You Trigger follow-up processes for pre-engagement in the Onboarding App and trigger the local onboarding process.
  • You give support in the welcome and “ getting started” programs together with Peoplepoint and HR Business Partners.
  • You maintain, update and distribute the company presentations, employee handbook, work regulations and all starting documents for new employees.
  • You ensure all other administrative tasks and you report on KPI’s linked to onboarding of new employees.
  • You address new hires’ queries regarding their start.
  • You give support to the Learning & Development manager related to the administration and organization of learning courses.
  • You are in charge of some reporting related to “Learning & Development”

Skills we can’t do without

  • You are fluent in Dutch, French and English
  • You are resilient and able to take proactively the lead regarding a client-friendly “pre- and onboarding” process.
  • You are a great team player and client oriented.
  • You have solid communication skills, both written and spoken
  • Having hands-on experience with Human Resources information system (HRIS) could be a plus
  • Having Basic knowledge of labor legislation could be a plus.
  • You can handle sensitive and confidential information.
  • You like working in a dynamic, fast moving environment
  • You have good problem-solving skills
  • You are well organised and making things are moving forward with the needed pace
  • You like working with and are able to work effectively with MS-office tools, especially MS Excel & PowerPoint
