Summary

The Baxter EMEA European IT function maintains a large hub in Alliance Park for regional projects. The position of IT Management Assistant will serve as project and administrative support for both projects and regional IT support.

Essential Duties & Resonsabilities
  • Purchase Orders: creation of Purchase Orders for various team and follow up of the invoicing process.
  • Office Management: Liaise with the various contacts in order to ensure a proper working environment for the team. Ensure various office catering, supplies are available for the IT team members
  • Organization of IT meetings (internal & external), conference calls, logistics, etc
  • Coordination of travel for the management team with respect to the internal policies, incl. flight-, hotel- and transportation arrangements
  • IT central point of contact between users and IT support
  • Link with Hard and Software suppliers
  • Coordination with it support team on all technologies equipment
  • Comply with regulations and standards and protect Baxter’s public reputation.
  • Manage recharges (same/different entities, extract financial file, etc)
  • Mail distribution
  • Calendars management
  • Supplier issues management
  • BaxU trainings compliance
  • Use of DocuSign for documents
  • Expenses management
  • General admin support
  • Participation in Team meetings
  • Creation of new suppliers
Profil
  • Management Assistant degree - BAC or Master
  • Very good knowledge in English and French (or Dutch)
  • Advanced administrative experience at senior level
  • Familiar with an International Business environment
  • Ability to multitasks and prioritize workflow.
  • Must have good organization and follow-up skills - detail oriented.
  • Must have excellent communication skills in order to effectively communicate with all levels of management, both internal and external.
  • Autonomy, proactive behavior, discretion, confidentiality and flexibility
Others Informations
  • The Baxter’s company is located in Braine-l’Alleud,
  • Possibility of homeworking (1day/week)
  • Work timetable : flexible arrival (between 8:00 & 9:00 AM) / 8 hours of work per day except on Friday : 7 hours
  • Mission from mid July till end December (preferable no vacation from 15/8)
